Are you looking for an opportunity to work for a reputable company with a positive work environment? Better Business Bureau is looking for an Operations Coordinator to join the team. An Operations Coordinator performs complex professional administrative and technical assistance work for the Operations Department. Serve as liaison to staff, providing support with administrative tasks, IT, facilities, purchases, and equipment; and prepare for meetings, conference calls, and training sessions. Assists with the development and implementation of performance measures and various administrative and programmatic special projects. Communicate both verbally and in writing with a wide variety of internal and external stakeholders, including C-Suite executives. Work in a multi-faceted, high-paced environment with strict deadlines.

Essential Duties and Responsibilities

  • Assist with general administrative tasks like supply orders, office equipment maintenance and support, event planning and catering, mail, equipment inventory, and related tasks.
  • Prepare for meetings, conference calls, and training sessions by drafting agenda, providing logistics support, and other related special projects.
  • Assist with performance measures, data collection, analysis, and related reporting.
  • Assist with the development of Standard Operating Procedures (SOP), and coordinate the preparation, editing, and distribution of correspondence, reports, studies, forms, and documents.
  • Assist with Information Technology requests, working closely with Project Manager, IT Vendor, and staff to troubleshoot issues and find solutions.
  • Assist Facility Manager with tasks related to vendor management and scheduling, conference rooms, supply ordering, fleet services, and related items.
  • Communicate effectively with stakeholders across the organization to determine department needs, project and system support. Provide timely and accurate communication and reporting to stakeholders and leadership.

Qualifications

Required Skills/Abilities:

  • Excellent communication skills, both verbally and in writing
  • Excellent critical thinking and problem-solving skills
  • High attention to detail in composing, typing, and proofreading materials
  • Proficient in Office 365, especially in Excel, online project management platforms, etc.
  • High level of interpersonal skills and ability to handle sensitive information and documents with confidentiality
  • Ability to multi-task in a fast-paced office environment
  • Knowledge of office administrative procedures and ability to operate and troubleshoot most standard office equipment
  • Experience in customer service or administrative support

Additional Duties

  • Occasional travel to other BBB office locations using BBB vehicles
  • Contribute to KPIs
  • Perform additional tasks as requested by the supervisor

Education and Experience

  • Bachelor’s degree, plus 2-3 years experience in an office setting; or
  • Any equivalent combination of education and experience provides the required knowledge, skills, and abilities.
