BCL Search is Hiring an Executive/Personal Assistant to Chairman at Boutique Investment Firm in Palm Beach, FL Near Beach, FL
Our client, a boutique investment firm, is looking to hire a superstar Executive/Personal Assistant to provide administrative support to their incoming Chairman, located in their Palm Beach, FL office. The successful candidate must thrive in a right-arm EA/PA type of position where they are truly an extension of their boss. The candidate must have excellent attention to detail, be proactive and thoughtful, resourceful and humble. The ideal candidate will be a problem solver by nature. This is a very busy firm and the candidate will need to have excellent interpersonal skills and experience supporting a C-level executive. Sensitivity to confidential matters is required. This role requires 24/7 availability and mindset.
RESPONSIBILITIES
Complex calendar management and meeting planning
Assist with reviewing correspondence, arranging corporate functions, answering questions and meeting requests directed to the Chairman
Arrange extensive domestic and international corporate travel via private jet and meetings by developing itineraries and agendas, booking other transportation, arranging lodging and meeting accommodations
Compile and process expense reports
Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans
Liaise with numerous departments
Assist with personal work: overseeing households and staff, paying bills, booking appointments, arranging personal/family travel and more.
REQUIREMENTS
8-15 years of experience supporting C-level executive as a primary EA/PA
Results driven with excellent organizational and time management skills
Confidentiality and discretion
Strong ability to juggle competing priorities and handle time-sensitive tasks
Must be a self-starter and adaptable to changing environments
Must have exceptional interpersonal and communication skills
Proficiency in computer skills: MS Office Suite (PowerPoint, Excel, Word, and Outlook)
Bachelor’s degree is preferred
Must be out of finance
