We are conducting a search for a full or part-time Office Administrator for our Rochester, NY office. We're seeking a reliable, enthusiastic, organized person who maintains a professional demeanor. 

Duties include:

  • Serving as office receptionist including answering phones and greeting clients;
  • Managing office support tasks including coordination with property owner for office maintenance activities and building issues;
  • Coordinating outside office support services including cleaning services, employee parking, copy machines, etc.;
  • Inventorying and ordering office equipment and supplies;
  • Managing incoming and outgoing mail/deliverables;
  • Assisting with management of fleet vehicles;
  • Word-processing, including preparation of reports, correspondence and other documents;
  • Organizing and maintaining marketing materials (project descriptions, resumes, and project photos);
  • Assisting project managers with organizing, processing, and filing of project documents;
  • Managing project data in a web-based, digital filing system;
  • Preparing notes and meeting minutes;
  • Assisting with project documentation;
  • Assisting with marketing materials and proposal development;
  • Assisting with organization and set-up of office in-house training sessions and office events;
  • Coordinating communications between office and company-wide staff; and
  • Assisting in other office and company-wide support tasks as needs dictate.

Requirements

Candidates must be proficient with Microsoft Office Suite (Work, Excel, etc.) and have at least 3 years of receptionist/office experience. This position requires a reliable, enthusiastic, organized person who can manage multiple priorities, communicate well, and work with a diverse group of technical staff.

Estimated Pay Range: $20-24/hour.

Actual compensation may vary based on related work experience, geographical location and market conditions, education/training, certifications, and other credentials, as well as applicable knowledge and skills.
