Human Resources Specialist
Description:

We are seeking a full-time Human Resources Specialist to join our Chicago Office and become an integral part of our team.
The Human Resources Specialist will assist with employee onboarding and offboarding, and oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans.

Required Skills/Abilities:

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws
  • Strong attention to detail and organizational skills
  • Proficiency with Microsoft Office (Word and Outlook)
  • Excellent business correspondence, grammar, and proofreading skills
  • Must possess the ability to quickly learn, retain, and utilize new skills
  • Ability to conduct oneself professionally at all times and demonstrated ability to maintain confidential and sensitive information
  • Proven ability to take initiative and build positive and productive relationships
  • Ability to multi-task in a rapidly changing work environment effectively balancing and prioritizing

Education and Experience:

  • Bachelor’s degree required, with concentration in HR or related field preferred
  • Minimum of 5 years of Law Office or professional services experience strongly preferred
  • Completion of specialized certification or training on FMLA/leave administration a plus

Duties/Responsibilities:

  • Assist with employee onboarding and offboarding tasks, including requesting and activating keycards, setting up new workstations, and updating the firm’s floor maps and phone list.
  • Communicate with employees regarding their needs for leave and/or modified work schedules. Ensure that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Handle the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certifications, and accounting for intermittent and reduced schedule leave use.
  • Advise employees on the interaction of leave laws with paid time off, paid parental leave benefits, short-term and long-term disability benefits.
  • Assist employees with the claim process for state or local paid leave, short-term and long-term disability benefits and AFLAC claims; and complete all employer required forms for such claims.
  • Maintain reasonable communication with employees on leave to facilitate smooth and timely return to work; relay communication between employees and their managers during leave.
  • Handle and accurately update employee timecards during periods of leave.
  • Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Oversee the return-to-work process for employees returning from extended FMLA, or other leave(s) of absence.
  • Preserve confidentiality of employee medical documentation and files.
  • Maintain knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws, and update legal postings, and other required communications as needed.
  • Work with Human Resources Manager on revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Assist Human Resources and office administration with other tasks as needed.
