Aventura Mall is Hiring a HR Generalist Near Nashville, TN

General Summary of Duties :

The People Culture Generalist will support the Director of People Culture, People Culture Manager, Talent Acquisition Manager, and Training Manager. Tasks include but are not limited to; telephone communication, including answering calls, attending to messages, forwarding calls appropriately, assisting the caller in resolving questions/ concerns, email correspondence, managing calendar(s), coordinating meetings, filing, inputting, and maintaining data, drafting, and submitting expense reports, accurately preparing written documents such as letters, memos, and any other administrative tasks as requested by the People Culture Team. Responsible for HRIS data entry, maintenance of personnel records and related documents, processing of verification of employment requests, time-keeping records, organizational charts, and providing guidance to general HR questions. Assist the HR Department with Worker’s Compensation cases, leave of absence program, performance management, training, and Team Member recognition initiatives.

Examples of Duties (include but is not limited to the following) :

  • Assist with recruitment of assigned positions including posting of jobs, screening of resumes, and scheduling interviews.
  • Manage pre-hire and onboarding process to include scheduling of drug testing and follow-up of signed offer letter documents.
  • Responsible for data entry into the HRIS system of new hires and personnel changes, including promotions, salary adjustments, supervisor changes, and terminations.
  • Maintenance and filing of (active and terminated) personnel files and general documents. Coordinate and maintain records of the department’s document retention and storage.
  • Manage compliance reporting process (i.e., EEO, I-9, and other state reporting requirements).
  • Performs routine tasks required to administer and execute human resource programs, including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
  • Complete verification of employment requests.
  • Assist with the execution of New Hire Orientation prep.
  • Submit invoices to Accounts Payable for payment and manage outstanding invoices.
  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Attends and participates in employee disciplinary meetings, terminations, and investigations.
  • Answer HR Department’s phone and provide information as needed and monitor HR email inbox.
  • Assist the HR Department with administrative support and special projects and initiatives.
  • Assist the HR Department in the processing of Worker’s Compensation cases and safety-related initiatives.
  • Maintains compliance with federal, state, and local employment laws and regulations and recommended best practices; reviews policies and practices to maintain compliance.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.

Position Requirements :

  • Ability to speak, read, write and understand English
  • Professional demeanor appropriate for a luxury environment
  • Human Resources experience is a plus but not required
  • Minimum of 1 year of experience in an administrative role
  • Proficient with or the ability to quickly learn human resource information systems (HRIS), time management systems (Kronos), and similar computer applications
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Ability to work projects through to completion
  • Excellent organizational skills and attention to detail
  • Ability to operate computers with proficiency in MS Office suite software
  • Proper telephone etiquette is necessary and comfortable with interaction with guests and the public
  • Must maintain professionalism at all times, demonstrating courtesy and respect to guest, internal guests and co-workers

Education :

  • Bachelor’s Degree in Human Resources, Business or related field or pursuing a degree in human resources.
  • Minimum of 1 year of Human Resources experience preferred.
  • ADP experience preferred.
