What We're Looking For: This is a hybrid role, primarily remote with occasional in-office presence (once a week or as needed). We seek an experienced administrative assistant to provide invaluable support to our partners and extend a warm welcome to our clients. Embracing cutting-edge technology is integral to our operations; we rely on industry-leading tools such as Google Suite, Slack, TaxDome, ClickUp, and Adobe products to streamline our processes.

Job Responsibilities:

  • Manage Client Relationship Management (CRM) tasks, including database updates and client onboarding activities.
  • Facilitate client information intake, send tax organizers, and collect relevant documents.
  • Prepare, distribute, and monitor client engagement letters.
  • Handle various forms and documents using Adobe PDF and TaxDome online forms.
  • Conduct follow-ups with clients regarding missing items through email, TaxDome messaging, and phone calls.
  • Process and organize incoming documents via our TaxDome portal.
  • Handle the processing, filing, and delivery of tax returns and other work products.
  • Aid in documenting firm workflows to ensure adherence to policies and procedures.
  • Maintain office calendars and schedule meetings.
  • Oversee vendor contracts, including business insurance, software agreements, branding contracts, etc.
  • Assist with Accounts Receivable (AR) and Accounts Payable (AP) tasks as necessary.
  • Provide administrative support for projects, including staff assistance, time tracking, and project metric reviews.
  • Fulfill any other duties as assigned by partners.

Preferred Qualifications:

  • High School Diploma or GED minimum.
  • 2 years of administrative experience, preferably in accounting, legal, or another professional environment.
  • Bookkeeping/accounting experience is advantageous but not mandatory.
  • Proficiency in calendar management and client-facing interactions.
  • Familiarity with QuickBooks Online (QBO) is a bonus.
  • Eagerness to learn new skills and technologies.
  • Strong data entry skills and organizational acumen.
  • Experience with TaxDome, Slack, Adobe, ClickUp, and tax return collation is a plus.
  • Competency with G-Suite and Slack (gmail, sheets, docs, slides, google meet, etc.).
  • Excellent time management abilities and adaptability in fast-paced environments.
  • Previous experience in a CPA firm is desirable but not essential.
  • A positive, team-oriented attitude.

Pay: $23.00 - $25.00 per hour

Expected hours: 30 – 40 per week

Benefits:
