The Accounting Assistant is responsible for the day to day creation and maintenance of accounting reports. This includes reviewing daily sales journal, maintenance of all accounts payable, and reconciliation of all aircraft fuelings and purchases. This position is also a liaison between both the customer and vendors through the day to day incoming inquires.
Responsibilities
General Duties
  • Representation of Atlantic Aviation in a professional and positive manner.
  • Application of the principles of the "Atlantic Attitude" at all times.
  • Compliance with all Company policies and procedures.
  • Interaction with customers, vendors, and Atlantic Aviation employees in a professional and courteous manner.
  • Communication of work progress and significant issues with the General Manager and/or Regional Manager.

Essential duties and responsibilities include (but not limited to):
  • Reviewing daily sales journal and correction of any billing errors.
  • Reconciliation of fueling truck sheets with Jetstream, as well as, other various sales reports and EFT statements.
  • Ensure prompt and accurate entry of accounts payable for all respective locations.
  • Maintain and organize all accounting records and files.
  • Receive payments from customers, update accounts receivable spreadsheet for customer's accounts and transmit to corporate accounting staff.
  • Compilation of account information, and generation and dissemination of various reports based on information from accounting systems.
  • Handle customer/vendor inquiries about accounts and accounts payable.
  • Help General Managers in region with questions in accounts payable.
  • Pick up mail from Post office, and bring deposits to bank.
  • Place collection calls for past due accounts receivable.
  • Review monthly recurring charges with General Manager, noting any changes.
  • Review Accounts payable and prepare report for General Manager to approve.
  • Create Manual invoices as needed.
  • Monitor Auto gas and Diesel sales and prepare report for General Manager.
  • Prepare Sales tax returns.
  • Prepare quarterly hangar analysis reflecting fuel gallons sold.
  • Assist General Manager with preparing the annual budget.
  • Prepare special reports and analyses, participate in projects.

Skills & Qualifications
  • Minimum 3 years experience in accounting/business administration within an office environment.
  • High school diploma or equivalent.
  • Minimum of 18 years of age.
  • Previous customer service experience.
  • Excellent communication skills, both written and oral.
  • Good organizational skills.
  • Must maintain a valid state driver's license.
  • Ability to comprehend and perform basic math calculations with minimal errors.
  • Proficiency in use of MS Office applications including Word, Excel and Outlook.
