Job Purpose

As the IT Specialist, you are responsible for managing projects and workflows related to information technology, user experience and vendor management. The IT Specialist is also responsible for maintaining AthenaPsych’s accounts with several vendors (i.e. Vonage, Zoom, Adobe Acrobat, Gmail Console, Salesforce, Firewall, Rippling), building out new processes and procedures to ensure efficient technological uses, ordering and training staff on new software and other IT initiatives. This position requires a warm and inviting disposition, as you will be the first point of contact for all IT needs.

Job Description

  • Installing VPN and EMH software on employee devices
  • Overseeing Phone system “Vonage (VCC)” account set up, training and troubleshooting.
  • Setting up new workstations, laptops, phones, and other devices for all new and incoming employees and at all Athena locations
  • Manage all Google Suite Business and IT functions including setting up new hire emails, google voice numbers, managing account subscription needs and updating based on organization growth and staff resignations.
  • Creating Electronic medical record accounts, managing internal settings and assisting in signature creations in both Google and EHR system
  • Overseeing Adobe Acrobat reader DC account set up and user management.
  • Provide training to incoming hires on various software programs Ex: TeamViewer and Salesforce
  • Collaborate with CEO, CFO and Human Resources Director on IT related projects and initiatives.
  • Participates in training all new hires and setting up all necessary IT equipment by first day of hire including but not limited to successfully logging into email accounts, EHR system, and office set up.
  • Respond to all IT concerns and requests via email, g-chat and phone within a 48 hour window
  • Responsible for troubleshooting all printers and office machines and contacting support or outside vendors when necessary
  • Host and monitor weekly case conference sessions
  • Updating all internal distribution lists weekly to ensure accuracy.
  • Managing DocuSign account set up and envelopes.
  • Purchasing and distributing electronic devices as needed
  • Other duties as assigned by Supervisor.

Qualifications

  • 3-5 years of relative IT experience; in a healthcare setting preferred.
  • Bachelor’s degree in Information Technology or related field; or equivalent work experience
  • Experience with a Salesforce and Electronic Health Record Systems highly desirable
  • Ability to troubleshoot PC and software issues and products.
  • Demonstrated knowledge of Google Suite and applications.
  • High attention to detail
  • Able to discreetly handle sensitive and confidential information.
  • High level of accountability and integrity.
  • Knowledge of HIPPA regulations and experience in a mental health setting preferred.
  • Ability to manage tight deadlines and multitask.
  • Strong computer skills and proficiency with word, excel, G-suite, and other software/applications.

Working Conditions

This position will be located at 33 W 60th St. New York, New York 10023 location with travel to our 2825 3rd Avenue, Bronx, NY location twice a week or as needed. This is a professional work environment where a computer, desk, chair and office supplies will be provided.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee in order to successfully perform the essential functions of the role above.

While performing the duties of this job, the employee is regularly required to hear and speak on the phone or computer throughout the day, stand and sit for an extended period of time and be able to write and answer emails in addition to carrying objects no greater than 70 pounds, when needed.
