SBCS has partnered with a growing company an experienced Executive Assistant to support their Chief Executive Officer, and President & Chief Operating Officer. We are looking for a candidate who is both approachable and professional and comfortable utilizing technology, virtual meeting platforms and scheduling systems. The successful candidate will be effective in planning, prioritizing, and executing tasks in a timely manner, as well as supporting the sometimes-competing administrative needs of the organization. They must also exhibit skills in building and maintaining strong relationships both internally and externally. The EA also must be comfortable holding highly confidential information and comfortable taking the initiative when faced with administrative decisions.
Essential Duties and Responsibilities:
· Manage the CEO, and President & COO’s calendars, appointments, travel arrangements, itineraries, accommodations, and logistics
· Prepare and organize meetings, conferences, and other events.
· Maintain and organize documents, files, and records
· Maintain confidential information and handle sensitive data with discretion
· Serve as a liaison between the executives and internal/external stakeholders
· Draft and edit documents, presentations, and reports as necessary
· Provide backup office management support to our current EA/Office Mamnager, such as ordering office supplies, receiving deliveries, and other tasks as needed to ensure the office runs smoothly
· Provides additional support to the Chief of Staff relating to administrative and office management functions and activities
· Process expense reports and budget tracking
· Ensure the Executive’s time is used efficiently and effectively
· Prioritize tasks, set reminders, and provide time management support
· Anticipate potential issues and proactively address them
· Support President & COO’s management of executive team
· Commitment to support the company’s mission and to engage consistent with the company’s values
Education and Experience:
· 3 years of experience as an Executive Assistant for more than one executive in a fast-paced, growing environment
· Excellent MS Office knowledge
· Outstanding organizational and time management skills, creative and willing to take work independently
· Advanced proficiency in Microsoft Office and experience utilizing technology and communication tools for meetings and office interaction
· Excellent verbal and written communication skills
· Flexible schedule when needs of business dictate
