Business Manager– Job Description
Status: Full Time
Reports to: Pastor
Position Summary: Professional administrator in support to the pastor or pastoral team. Stewards the physical, financial, and personnel resources of the parish. As a person of faith committed to Catholic values and responsible management of resources, helps the parish fulfill its mission and purpose.
Responsibilities:
  • Prepare the yearly budget (in conjunction with the pastor, department heads and parish finance council), monthly accounting reports, and reports requested by the finance council.
  • Prepares monitor budgetary compliance for all departments.
  • Manages and assists with preparation of budgetary, fiscal, and statistical records and reports.
  • Manages banking and bookkeeping activities for parish, school and cemeteries, including offertory collections, payables, and receivables. 
  • Develops and maintains desk procedures for the parish office support staff. Utilizes office support staff efficiently and effectively to assist in day-to-day office administrative needs.
  • Oversees payroll. Supervises parish and school staff of paid and unpaid time off. 
  • Stays abreast of changes to diocesan benefits, labor laws, health protocols and other related policies. Communicates updates to staff and update employee handbook as needed.
  • Coordinates administrative and business activities of the parish and school in regard to human resources, salaries, personnel policies, etc. Serves as the contact for employee HR issues, insurance questions, retirement benefits, etc.
  • Helps oversee the annual diocesan Catholic Services Appeal (CSA).
  • Assists the Principal in assessing the financial impact of initiatives (e.g., enrollment vs. tuition price vs. discounts vs. cost).
  • As applicable, supports the school Principal in developing assumptions for the annual budget, and re-forecasts of school finances each fall after enrollment season.
    • As applicable, supports and assists the Principal and Pastor in all school and parish financial management processes, including Tuition levels and tuition collection, financial aid, and expense tracking and management.
  • Assures adherence to Archdiocesan policies and procedures.
  • Oversees and participates in all fund-raising efforts and activities. Research popular and trending new fund-raising ideas and coordinate approved fund-raising opportunities with parish staff and volunteers where necessary.
  • Research grant opportunities for school and church regularly. Writes grants in conjunction with the appropriate department heads.
  • Supervises and evaluates parish secretary, and reports to Father with evaluations.
  • Ensures the timely filing of all required local, federal and state taxes and diocesan reports, including quarterly and special event tax returns.
  • Produces weekly offertory reports for pastor and bulletin.
  • Serves as staff liaison to the parish finance council.
  • Attends pastoral staff meetings and appropriate meetings at the levels of families of parishes, vicariate, and diocese.
  • Ensures that volunteers follow proper cash and audit procedures per AOD guidelines.
  • Maintains accurate and current accounting records and other financial ledgers of the parish and school.
  • Gathers and prepares invoices and check requests to the paid weekly.
  • Supervises and coordinates the counting of Sunday offertory collection.
 Requirements:
  • Bachelor's degree in business administration or related field.
  • 5 years of experience in business management and bookkeeping.
  • Proficiency in Microsoft Office Suite, Google, and other business software.
  • Experience with software: Intacct (Accounting), QuickBooks, ParishSoft (Church Data), Paycor (Timekeeping), and FACTS (School Tuition, etc.) a plus.
  • Knowledge or experience with parish finances and bookkeeping is a plus.
Additional Requirements
  • Must be a Catholic in good standing and adhere to the teachings of the Catholic Church.
  • Requires strict confidentiality regarding school and church personnel, financial, and other sensitive information.
  • Must submit to a criminal background check.
  • Must take Protecting God's Children for Adults training upon hire.
