Applied Property Services Inc. is Hiring an Office Admin - Accounts Payable Specialist Near Denver, CO

We are looking to fill a position in our maintenance & construction company in Denver.

We are asking that you only apply if you have related experience to office admin work or related to office work in this field.

We are looking for a mature person that has high organizational skills and can work without supervision. We are hoping to find someone that will be with us long term, and someone looking for stability.

Candidates with a background in HR are encouraged to apply. If you like to develop new processes, this may be the position for you as we are revamping the way we operate our office.

The Duties Consist Of:

Working In Office daily, arriving and ensuring employees have documented their time cards, and work on invoicing for services rendered the day before in addition to the below.

-Entering Bills In System

-Appropriately Marking Bills Paid In Accounting System

-Entering Contractors Invoices into Accounting System

-Creating Estimates

-Preparing Statements

-Following Up On Payments that are past due

-Preparing Bid Documents

-Preparing Documents required for permits, bids, and estimates

-Sourcing Parts for specific jobs or projects

-Collecting New Contractor Paperwork

-Following Up On Insurance Documents With Contractors

-Following Up With Technicians for Documentation on specific projects

-Place supply orders

-Prepare Checklist for Owners

-Organize all vehicle maintenance documents

-Organize New Equipment Documents

-Work With Company Accountant to keep records of purchases, etc.

-Provide Staff With company announcements

-Keep Track Of Changes and Adjustments to Employees Payroll

-Keep Employee Files Up to date

-Process E Verify Cases for new hires.

-Paying Statements, tolls, and miscellaneous bills incoming

-Create Time Card Calculations

-Provide Owner With Invoice Reports Weekly

-Preparing contractor files to get them on jobsites

-Provide Owner With Past Due Report Weekly

-Answer phone calls, respond to emails, and follow up with items pending daily.

This is a position that requires a highly organized person that can keep tasks organized.

At times, this position is high paced depending on the season. Candidate Must be okay with commuting into the office during snow events/storms.

Schedule:

7:00 AM to 3:30 PM

30 Minute Unpaid Lunch

2 Mandatory 10 minute breaks

May require some overtime during the snow season

Overtime is paid on Time & a half.

Requirements:

  • Must Have Over 5 Years experience in office administration, preferably in the construction industry
  • Must Be Computer literate
  • Must be familiar with G Suite Products, Outlook, Excel, and common software's
  • Must have proper grammar and intermediate writing skills
  • Must Be A Self Starter and pro active to begin task
  • Must be highly organized with paper files and electronic files
  • Must be very sensitive to information you will be exposed to
  • Background Check

Not Required But a

Bilingual - Spanish
