Apartment Association of Greater Memphis is Hiring a Member Services Coordinator Near Memphis, TN

Full-time position (35 hours a week), Monday-Friday, occasional evenings when an event is scheduled (about 5-6 times a year) but not without advanced notice

Job Description: Under general supervision, this position performs a variety of complex, responsible and confidential membership-related duties. Provides support for the Membership Chairman in the processing of potential members and maintenance of current members’ records. Effectively communicates with the Board, members and visitors.

Physical Requirements: Work requires the physical demands of standing, bending, lifting, stooping or performing other work requiring light physical exertion (up to 30 pounds) on an occasional basis (up to 15% of time) and frequent walking.

Responsibilities/Duties:

Membership

  • Responds to all membership inquiries and keeps abreast of the general climate of the industry in the local area
  • Processes membership applications and follows up for dues payment within 45 days of application submission
  • Communicates directly with pending members and the Membership Chairman on the status of applications
  • Maintains additions, cancellations and changes to the member database
  • Assembles and distributes new membership packets/gift bags for Membership committee to distribute
  • Registers new members for the next available New Member Orientation. Works with Membership & Associates Council Chair to prepare for orientations.
  • Prepares membership report for Membership Chair to present at monthly board meeting
  • Serves on Membership committee meetings as AAGM representative

Meetings/Events

  • Prints attendance sign-in sheet for each function
  • Processes invoices for a limited number of events (most invoicing is automated)
  • Assists as needed with all Special Events (Annual Trade Show, Golf Tournament, Maintenance Appreciation, and Diamond Achievement Awards) from inception to completion.

General Office

  • Monitors office supplies, usage and costs and orders supplies as needed
  • Answers the phone cheerfully and professionally and directs calls appropriately while providing outstanding customer service
  • Greets visitors, Board, and members in a friendly manner
  • Opens, sorts and appropriately routes incoming mail for department
  • Processes bank deposits
  • Assists with the collection of delinquent accounts as needed
  • Performs related accountabilities/responsibilities as required or directed.

Experience/Skills:

1. Advanced use of Microsoft Word applications, especially Word, Excel and Outlook. Excel skills are needed on an intermediate level.

2. High school diploma supplemented with specialized courses and at least two years of experience in the administrative field.

3. Correct English usage, grammar, spelling, punctuation and math; business letter and report writing; fundamental record keeping principles and procedures; receptionist and telephone techniques; and filing systems

4. Must have good oral communication skills, a pleasing personality and professional demeanor

5. Detail oriented, excellent verbal and telephone skills, knowledge of computer and office equipment

6. Ability to follow oral and written directions and work effectively with others

7. Ability to work independently in the absence of supervision and manage details of multiple events at once

8. Outstanding customer service and organizational skills.

9. QuickBooks experience preferred.
