Job Objective:

This position works under the direction of the Infection Prevention Manager, performs a wide variety of complex duties requiring a high degree of accuracy, with latitude for independent initiative and judgment and provides technical and secretarial assistance in abstraction of clinical data from a patient's medical record and input into an electronic database(s) that will be used for analysis, process improvement, and public reporting, planning, organizing, and controlling the work flow in order to accomplish the objectives of the department.

Duties and Responsibilities:

  • Follows Administrative policies on Confidentiality and Privacy Practices.
  • Review medical records and other source documents to collect clinical data of patients in the infection prevention program according to the specifications and guidelines of the applicable data element.
  • Responsible for accurate reporting and collection of infection prevention data and entry into the internal and external electronic database(s) to include data required by regulatory agencies and data used for internal program monitoring and improvement.
  • Abstracts information in a timely manner within established time frames.
  • Responsible to maintain up to date with data definitions as related to abstraction of the data.
  • Under the direction of the Infection Prevention Manager, will participate in tasks to ensure inter reliability and validity.
  • Assists the Infection Prevention Manager in data analysis.
  • Works collaboratively with team members as required during review of the medical record.
  • Assists with regulatory survey preparations.
  • Completes required continuous training and education, including department specific requirements.
  • May assist in performance improvement or special projects as needed.
  • Protects the confidentiality of the medical record as mandated by law, professional standards, and the hospital's policies.
  • Refrains from disclosing confidential information acquired in the course of work, except when authorized and unless legally obligated to do so.
  • Refrains from using or appearing to use confidential information acquired in the course of work for unethical or illegal advantage either personally or through third parties.
  • Performs all normal secretarial duties in support of department.
  • Schedules meetings and appointments.
  • Coordinates seminar and travel arrangements for department staff.
  • Provides secretarial assistance in planning meetings; developing agendas, prepares committee reports, and maintains records.
  • Typing and correspondence.
  • Answers and screens phone calls to the Department.
  • Prepares departmental statistical reports as needed.
  • Updates and maintains department policies.
  • Updates department disaster wheel and call list.
  • Orders dietary, clerical, and department supplies as needed.
  • Handles equipment malfunctions and/or necessary replacements in support of the department.
  • Provides clerical support for additional infection prevention needs as prioritized by the Infection Prevention Manager if needed.

Non-Essential Duties:

    Other duties as assigned by the Department Manager.
    Handles distribution of incoming and outgoing mail.

Knowledge, Skills and Abilities:

Knowledge

    Knowledge of medical terminology and statistical processes strongly preferred.
    Knowledge of secretarial procedures.
    Knowledge of English usage, spelling, grammar, and punctuation.

Skills

    Accurately type 30-40 WPM.
    Strong communication skills to include group presentations.
    Skill and ability to follow the established Customer Service Expectations and Standards.
    Computer skills to include data entry and knowledge of MS Office Professional required (Outlook, Visio, Publisher, Excel, PowerPoint, and Word).
    Familiarity with chart audits and navigation.

Education and Experience:

Education

    High School Diploma or Equivalent required.
    Bachelor's Degree in nursing, epidemiology, microbiology, or public health strongly preferred.

Experience

    Two years secretarial or administrative support experience.
    1 - 2 years of infection related data abstraction and entry for an internal or external data registry strongly preferred.
    Medical Terminology and infection control knowledge strongly preferred.

Required Licensure and/or Certifications:

    Basic Life Support (BLS) required.

Physical Requirements and Working Conditions:

    Work is often performed under stressful, emotional, and physical conditions for the office environment.
    Work is performed both in an office and facility.
    Occasionally lift, push and pull.
    Must be able to use standard office equipment, sit, and perform bending and twisting.
