Job Title: Accounts Payable Clerk

Department: Administration - Columbia

Schedule: 24 hours a week, Monday-Wednesday 9 am-5 pm. Schedule is flexible within 9 am-5 pm.

Supervisor: Accounting Specialist

Starting Pay Rate: $16-18/hour (based on experience)

General Description: The role of the Accounts Payable Clerk is to work closely with the Accounting Specialist to enter data; maintain records; process accounts payable and receivable; and manage invoices; The Accounts Payable Clerk must have high attention to detail and maintain confidentiality at all levels.

Primary Responsibilities:

  • Check invoices for accuracy against receipts and purchase orders.
  • Prepare payment requests for expenses.
  • Enter invoice and payment requests with proper coding ensuring accurate data entry.
  • Reconcile accounts payable transactions.
  • Submit all completed requests for payment for approval.
  • Ensure back-up documentation is completed and submitted according to company policies and procedures.
  • Review credit card receipts and employee reimbursement requests for processing per policies.
  • Review credit card statements per policies and procedures.
  • Monitor accounts to ensure payments are received and posted correctly.
  • Maintain filing of all payables and associated documentation.
  • Correspondence with vendors to resolve invoice discrepancies and respond to inquiries.
  • Assist in managing and maintaining a schedule of invoices and payments.

Qualifications:

  • At least 3 years' experience with accounts payable. Nonprofit experience a plus.
  • Proficiency in MS Office, particularly Excel.
  • Familiarity with accounting software. Prior experience with Abila and MIP a plus.
  • At least 3 year's experience with data entry.

Requirements:

  • Must have valid FL drivers license and current liability auto insurance
  • Must be able to pass Motor Vehicle Report for driving history
  • Must be able to pass a Level II background screening through DCF
  • Must be able to pass pre-employment drug screening
