Position Summary
The American Museum of Natural History is one of the world's preeminent scientific and cultural institutions, and has as its mission to discover, interpret and disseminate information about human cultures, the natural world and the universe through a wide-ranging program of scientific research, education and exhibition.
The Gottesman Center for Science Teaching and Learning brings together in one organizational structure all of the Museum's activities directed towards K-12 schools and teacher education. Urban Advantage (UA) is a partnership program in science education that involves eight New York City science-rich cultural institutions and currently serves almost 300 middle schools and over 900 science teachers.
Urban Advantage is looking for a motivated teammate to join their creative work environment. The Purchasing Assistant will work with a team of educators and developers, in a high-energy, fast-paced environment, to provide necessary purchasing support to the Urban Advantage program team. They work under the direct supervision of the Senior Administrative Manager, the Urban Advantage Business Manager, and the Urban Advantage Program Director.
The Purchasing Assistant should be organized, possess strong analytical and communication skills, be able to multitask and prioritize and have a keen attention to detail. Additionally, they should be a self-starter, feel comfortable taking direction from multiple sources, and successfully see projects through to completion while working independently. Ideal applicants are friendly and outgoing, with a dedication to providing effective support to others, and have excellent interpersonal skills, strong written and oral communications skills. The Purchasing Assistant needs to handle confidential information with discretion.
Responsibilities include:
  • Reviewing, approving and placing teacher and school orders online and by phone, monitoring inventory and maintaining a filing system of records.
  • Submitting purchase requisitions to the purchasing department electronically using the Museum's internal system (Oracle).
  • Assisting with research and cost comparisons for vendors to maintain cost effectiveness and quality of scientific supplies and materials.
  • Engaging with suppliers to identify and manage time-sensitive, critical orders.
  • Monitoring and maintaining delivery schedules and due dates to ensure timely deliveries.
  • Managing and coordinating all returns and exchanges.
  • Liaising between UA teachers, suppliers and AMNH.
  • In support of the Business Manager, as needed: assisting in admissions voucher counting, reporting and reimbursement. Processing payments for vendors and contractors, including bus companies, and creating monthly reports. Reviewing and processing stipends for Urban Advantage teachers. Providing support to UA staff and Gottesman Center staff to assist in the delivery of the program and events.
Note that current employees of the NYC DOE, or persons who have been employed by the NYC DOE in the last 12 months, are not eligible for this position.
The expected salary range for the Purchasing Assistant, Urban Advantage Program is $50,000/annual - $55,000/annual. This position is overtime-eligible and the AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.
Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
Required Qualifications
  • Two or more years of professional experience in a related position, such as accounting, finance or business administration.
  • Strong computer skills, including excellent knowledge of Microsoft Excel and Word, and the ability to learn new programs and digital platforms.
  • Familiarity with standard accounting practices.
  • Associate degree or Bachelor's degree.

  • Three or more years of professional experience in a related field.
