Location: Lloyd Properties - Portland, Oregon
Hours: Monday - Friday, 8:00AM - 5:00PM

Overall Responsibilities:
The Property Assistant (PA) is responsible for assisting in the day-to-day operations and the management of projects of a property or properties. The PA will coordinate and provide back-up for the Tenant Services Coordinator (TSC) as needed. The PA must have a basic knowledge in the areas of tenant relations, a work order system, property accounting, leasing, fire/life safety, cleaning, and security.Essential Responsibilities:
  • Provide back-up for basic reception duties, including but not limited to: Greet and direct visitors; answer phones and dispatch or route calls as necessary; open and distribute mail and package deliveries; produce and distribute daily security bulletins as well as daily conference room schedules.
  • Ensure all necessary/required filing for tenants, vendors, projects and buildings is accurate and completed in a timely fashion. This includes paper and electronic filing.
  • Responsible for tracking and entering tenant insurance certificates, and oversite of vendor/contractor insurance certificates. Run insurance reports for tenant and vendor insurance compliance.
  • Generate monthly tenant billables and forward to Lease Administrator(s); this includes work orders, above-standard electrical, and overtime HVAC. Review open and complete work orders as part of this process.
  • Manage one-time and small vendor contracts, including taking contracts out to bid, preparing vendor contracts, maintaining vendor lists and files, and performing walkthroughs with vendors.
  • Assist Property Manager as needed in reviewing contractor’s projects; coordinate minor tenant and building alterations including signage.
  • Coordinate tenant events; assist with preparing and reviewing tenant surveys and resolving action items.
  • Coordinate tenant transition into and out of the building with tenants, construction, leasing, and property management. Maintain paperwork associated with new tenant move-ins.
  • Assist with Annual Tenant Emergency Response training.
  • Assist in drafting and distributing tenant memos & announcements.
  • Coordinate special events, building events and community outreach.
  • Other duties and special assignments as assigned.
General Position Requirements:
  • Must be highly organized, and possess excellent interpersonal and customer service/tenant relation skills.
  • Demonstrates initiative, professionalism, integrity, and exercises confidentiality in all areas of performance. Needs to possess a positive outlook with ability to stay organized with attention to detail and efficient under pressure.
  • Excellent communications skills. Ability to communicate in a positive and professional manner with executives, corporate personnel, tenants, employees and vendors. Must have professional demeanor and strong interpersonal skills.
  • Demonstrates basic knowledge of Property Accounting processes, including Budgeting, A/P, A/R and CAM.
  • Must be proficient in Microsoft Word, Excel and Outlook.
