Allwell Behavioral Health Services is Hiring an Executive Assistant Near Zanesville, OH

RESPONSIBILITIES/STANDARDS:

Coordinates the affairs of ABHS Board of Directors and its subsidiary Board(s).

  • Prepares and distributes Board and committee minutes, agendas, reports, and informational materials on or before the Friday proceeding each scheduled Board meeting as confirmed by supervisor.
  • Makes arrangements for Board meetings and special trainings and is the interface between Board and President/CEO on a monthly basis as observed by supervisor.
  • Maintains all Board and Committee files for ABHS and its subsidiaries on a monthly basis as observed by supervisor.
  • Determines a quorum prior to each scheduled Board meetings as confirmed by supervisor.
  • Prepares report of President’s/CEO’s expenses in January, April, June, and September as approved by the Board Chair.
  • Functions as Secretary of the Residential Resources Board of Directors.

Uses personal judgement in determining work to be done for the efficient operation of the corporate office and initiates same independently.

  • Anticipates the need for information by senior leadership and prepares same as soon as possible.
  • Determines the urgency of the need for the president to respond to contacts from both inside and outside the corporation.
  • Routinely keeps the CEO and COO informed of potentially problematic situations both internally and externally to the corporation.
  • Prepares/generates and maintains contracts, legal documents, insurance correspondence and sensitive information.

Represents ABHS internally and externally, and prepares various reports, contracts/agreements, correspondence, etc. for the President and Senior Leadership.

  • Schedules appointments and screens calls.
  • Takes minutes and participates at Senior Leadership, Director, and various other meetings and maintains and distributes staff meeting minutes for organization.
  • Answers questions from staff and provides information to staff on behalf of President/CEO and COO.
  • Manages and monitors training requests.
  • Makes travel arrangements for leadership and staff as directed.
  • Maintains official corporate policies and procedures’ manuals in an up-to-date, current fashion; responsible for drafting revisions and having same reviewed by appropriate Leadership members before final review.
  • Draft, manage, and maintain various contracts for ABHS.

Maintains corporate records, central files, and coordinates various corporate staff events and functions.

  • Maintain corporate records and central administrative files so that all documents are current and information is easily located.
  • Annually archives central administrative files.
  • Participate in grant writing as directed by COO.
  • Collaborates with various teams to plan and manage various events.

Provides support for the senior leadership team.

  • Schedule knowledge of the members of the team.
  • Coordinates maintenance of office equipment.
  • Maintains a system for recording expenses and credit purchases
  • Read and analyze incoming memos, letters, and reports to determine their significance and distribute appropriately.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Working with the Credentialing Specialist, may occasionally coordinate managed care organization applications and credentialing of clinicians under managed care contracts.
  • Provide administrative support for members of senior leadership
  • Provides relief for Administration Front Desk Receptionist when needed.
