We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for overseeing daily administrative operations, managing files and records, supervising staff, taking care of client needs, scheduling, and ensuring efficient office operations. The ideal candidate will have excellent communication skills, strong administrative abilities, and experience in medical office management. A background with sales experience is a plus.
-Duties-
- Supervise, delegate and coordinate the work of office staff
- Manage and maintain files and records, ensuring accuracy and confidentiality
- Oversee office operations, including greeting visitors, answering phones, and directing inquiries
- Maintain a professional and welcoming office environment
- Coordinate vendor management activities, including ordering supplies and equipment
- Handle sensitive information with integrity and discretion
- Communicate effectively with staff at all levels of the organization
- Communicate with clients and set estimates
- Learn estimating and meet with clients to provide estimates

- Proven experience in an administrative role
- Strong organizational skills and attention to detail
- Excellent communication skills, both verbal and written
- Knowledge of sales and estimating practices is a plus
- Proficient in using office software (e.g., Google Office Suite)
- Familiarity with phone systems and other office equipment
- Ability to multitask and prioritize tasks effectively
- Strong problem-solving skills
- Ability to work independently as well as part of a team
