Responsibilities/Duties Provides a variety of receptionist and clerical support
duties for litigation staff, which involve utilization of work processing software and filing. In
addition, duties include enforcement of pertinent administrative rules and regulations governing
facility access. Contractor must be able to apply judgment in conducting daily work, interaction
with others, and taking initiative in planning tasks to be accomplished. Receptionist will work
under the direction of the Office Manager.
(b) Qualifications - Requires skill in operating a computer terminal, personal computer,
electronic typewriter, or dedicated word processor using a standard typewriter style keyboard
with additional function keys to produce a wide range of documents, create spreadsheets or data
bases. A qualified typist is required.
The incumbent performs the functions listed below:
Receives telephone calls and visitors to the office. Controls access to the office and insures
that only visitors properly cleared are authorized entry. Notifies staff members of visitors or
incoming telephone calls. Take messages from and give messages to visitors and callers when
staff members are unavailable. Maintains telephone switchboard equipment.
Enforces pertinent administrative rules and regulations governing facility access. These include
monitoring via close circuit television the movement of individuals in and around the office.
Monitor cameras for debriefings.
Receives, reviews, or distributes incoming mail or packages after screening.
May respond to inquiries via phone, email, letters and fax, assessing issues, and determining
appropriate information to be provided, or to whom the inquiry should be referred.
Coordinates and prepares travel itineraries for case witnesses or litigation staff, as well as other
duties as may be assigned to facilitate the efficiency of the program area.
Opening/closing cases in Caseview, print and assemble new case files, if needed.
Provide litigation support by working with Duty AUSAs and Legal Assistants on the
coordination and notification of the new arrest notices.
Communicate court docket changes to legal staff and check daily court calendars for additions/
deletions.
File incoming appeal files to corresponding criminal files.
Produce a variety of written documents utilizing word processing software, working from
handwritten draft, edited copy, or electronic files created by another staff member.
The contractor shall be proficient in Microsoft Office software programs (i.e., Word,
PowerPoint, Excel and Outlook) and WordPerfect Office Suite.
