POSITION DESCRIPTION & OVERVIEW

Title : Accounting Clerk

Reports To : Account Payable Manager

Schedule : Mon-Fri, 8am - 4 pm, Daytime Flexible

Compensation : $24 - $27 (DOQ)

$1000 bonus after a year of employment.

Job Classification : Nonexempt, Full-time, 40 Hours/Week

Union Representation : This position is not a union represented position.


The Accounts Payable Clerk will report directly to the Accounting Manager performing routine accounting tasks to include processing accounts payable and providing support to the accounting department.

PRIMARY DUTIES AND EXPECTATIONS

  • Completes payments and controls expenses by receiving, processing, verifying and reconciling invoices.
  • Reconciles processed work by verifying entries and comparing system reports to balances.
  • Charges expenses to accounts and cost centers by analyzing invoice/expense reports, recording entries.
  • Pays vendors by monitoring discount opportunities, verifying federal id numbers, scheduling, and preparing checks and resolving purchase order, contract, invoice or payment discrepancies and documentation.
  • Ensures credit is received for outstanding memos.
  • Maintains accounting ledgers by verifying and posting account transactions for payables.
  • Verifies vendor accounts by reconciling monthly statements and related transactions.
  • Maintains historical records by scanning and filing documents.
  • Manages vendor relationships.
  • Ensures all invoices are free from sales tax and ensures vendors have appropriate documentation for sales tax exemptions.
  • Protects organization's value by keeping information confidential.
  • Updates job knowledge by participating in education opportunities.
  • Accomplishes accounting and Agate mission by completing related results as needed.
  • Maintaining A/P filing system.
  • Ensure that accounts payable checks are properly documented and approved in accordance with established internal control procedures.
  • Assist in recording deposits and making deposits.
  • Keep abreast of all nonprofit best practices and state and federal law regarding nonprofit operations.
  • Other duties as assigned.

REQUIRED QUALIFICATIONS

  • Two-year degree in accounting required
  • At least 5 years of bookkeeping or Accounts Payable in the nonprofit sector.
  • Some Payroll experience a plus
  • Strong communication skills
  • Superb attention to detail.
  • Ability to prioritize tasks, work independently and meet deadlines.
  • Strong organizational skills and attention to detail.
  • Proficient using accounting software (Sage Intacct a plus), Excel and MS Office
  • Ability to maintain confidentiality of sensitive materials and information.

PREFERRED QUALIFICATIONS

  • Bachelor's Degree in relevant field.
  • Knowledge of, or experience with Sage Intacct a plus.

SERVICE ANNIVERSARY BONUS PROGRAM

This role is eligible for a $1000 service anniversary bonus after one year of employment.

REFERRAL BONUS PROGRAM

Do you know someone who you think would be a good fit for a position at our organization? Please refer them! Agate Housing and Services offers a $250 bonus to employees who refer qualified candidates for current openings. The referring candidate must clearly state the name of the employee who referred them in the section of the application that requests this information.

The Referral Bonus Form must be submitted to Human Resources no later than 30 days after the referred employees begin employment. Any Referral forms submitted after 30 days will not be processed.

To be eligible for rewards, candidates must be hired as permanent full or part-time employees (this excludes on-call, employees, temporary employees, interns or contract workers).
