Executive Assistant to CEO

Aevum is seeking a mid- to senior-level Executive Assistant (EA) who will work alongside other assistants to support CEO Jay Skylus. The executive assistant serves as the primary point of contact for those seeking internal and external communication with the CEO. Supreme organizational skills and prior work experience with professional correspondence are a must, along with experience managing an extremely active calendar and scheduling meetings on behalf of high-profile executives.

The ideal candidate is highly resourceful, a self-starter, an adept anticipator, hungry to support a high-performance individual with the innate ability to adapt and remain composed under pressure. This individual is a natural decision-maker who displays good judgement, doesn't need much supervision or direction and possesses the ability to prioritize and balance multiple tasks.

The most successful candidates will have strong verbal and written communication skills, demonstrate maturity and professionalism, and have significant real-world experience supporting high performance executives. You will use your expertise, diligence, "can do" attitude, and organizational skills to assist the CEO. You have a high degree of emotional intelligence and excellent interpersonal skills.

The administrative work involves exposure to highly sensitive, confidential, and/or classified information requiring confidentiality, tact, and discretion. Trustworthiness is a firm requirement.

Travel is required of the Executive Assistant when requested by the CEO. Flexibility and the ability to communicate with a high degree of professionalism is a must.

The starting salary range for this position is $70,000 to $100,000/year commensurate to experience and fit.

Responsibilities

  • First and foremost, be a partner to the CEO and his vision. Help leverage the CEO's time by performing various duties based on the busy and growing needs of his business and personal life.
  • Direct and manage administrative staff and junior assistants while working alongside the executive management team to support the CEO
  • Relentlessly manage the CEO's time. Organize and maintain the CEO's calendar, appointments, action items and support the CEO by informing him of all commitments and responsibilities. Follow up on behalf of the CEO when appropriate.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO's style and organization policy.
  • Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO's needs in advance of meetings, conferences, etc.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the executive management in the CEO's office.
  • Serve as an extension of the CEO to manage his relationships with VIP's, high profile investors, partners, and customers.
  • Arrange travel, travel plans, itineraries, agendas, visas and accommodation and travel with the CEO and ensure that all relevant documents are available for travel related activities.
  • Plan, organize, and manage events. Coordinate all executive management meetings and retreats and assist with staff meetings and events as needed.
  • Research, compile, organize, graph, and accurately portray information.
  • Other projects/duties as assigned by CEO

QUALIFICATIONS

  • Minimum 7 years of experience as an Executive Assistant to a high performance executive
  • Extremely high interpersonal skills and professionalism
  • Demonstrated experience focused on executive support
  • Bachelor's degree required
  • Expert proficiency with Microsoft Word and Outlook
  • Strong verbal and written communication skills
  • Exceptional organizational skills and impeccable attention to detail
  • Ability to complete a high volume of scheduling, event coordination, tasks, and projects
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Demonstrated ability to maintain a high level of integrity and discretion in handling confidential and proprietary information
  • Ability to switch gears at a moment's notice

TRAVEL

  • 25%-50% required; at times with a moment's notice.

  • The CEO is a high-performance individual, rocket scientist, software engineer, businessman, enjoys philosophy, and an introvert
  • Cross-functional team environment from all walks of life
  • In-office, out-of-office and remote settings throughout the year (mostly remote)
  • General availability (nights/weekends as needed) to support the CEO
  • Frequent domestic travel may be required; occasional international travel to Europe and Asia Pacific
