AERIS is Hiring an Office administrator Near San Jose, CA

That’s where you come in! As Office Administrator, you will help make sure our San Jose Office is a top-notch environment for our employees as our business grows and evolves.

This role will be a critical element in providing general office management support for the San Jose facility and its associated employees.

Who are we looking for? We need someone who thrives in making order out of chaos and enjoys keeping the trains running on time, someone who can prioritize multiple demands while also learning and growing.

A key element to a thriving office is thriving employees, so you will help keep the environment healthy in a variety of ways.

Responsibilities :

  • Own the environment of our San Jose office space to improve upon it to make it a consistently stellar home for our employees, both by bringing your own flare as well as by collaborating with employees
  • Assist with planning and executing impactful office events
  • Manage catering deliveries while upholding our health and wellness values
  • Manage vendor and catering relationships
  • Coordinate with building management for maintenance work orders initiating new requests, following up on open work orders and scheduling of general office maintenance
  • Ensure all break room, amenity and convenience areas are well kept, maintained and fully stocked each day
  • Order general office supplies, break room disposables and coffee / tea products
  • Provide direction to and receive visitors as needed and in adherence to Aeris policies
  • Perform clerical duties including, e.g., Legal mailings, mailbox routing, data entry
  • Work within set parameters and protocol to provide on-site support to the CEO
  • Ad hoc tasks as needed
  • Frequent interaction with the Executive Administrator to the CEO and the IT Support team

Requirements :

  • Remarkable organizational skills and attention to detail
  • Experience with supporting c-suite executives
  • Soft skills! The ideal candidate is collaborative, self-motivated, responsive, creative, positive in the face of challenge, and a fast learner
  • Excellent communicator, an active listener, solutions based, and provides clear / concise communication in-person and via email
  • Strong ability to execute work with a diversity, equity, and inclusion lens, with a remarkable ability to develop a sense of belonging for a broad range of people
  • Intense sense of integrity and excellent judgement, with an ability to handle confidential information with discretion
  • Strong sense of ownership and responsibility, and the ability to work autonomously
  • Proficient in Microsoft Office and Adobe

This is an in-person position requiring attendance in the office
