Executive Assistant

Minimum Requirements:
  • 3 years of administrative experience
  • Polished interpersonal skills with a strong business acumen
  • Excellent communication and organizational abilities
  • Intermediate to advanced skills with MS Office Suite and proficient with Apple computers
  • Experience with CRM systems, preferably Salesforce
  • Intermediate to advanced skills with office technology and troubleshooting
  • Professional attire and appearance required
  • Basic understanding of marketing principles preferred
  • Ability to type 45 WPM
This position requires that you possess the following skills:

  • Strong written and verbal communication
  • Strong organizational skills and administrative expertise
  • Tech-savviness with proficiency in office software

  • Event planning, copywriting, or creative skills a plus
Responsibilities:
Administration & Office
  • Ensure our office reflects the high standards of The Ritz Carlton
  • Answer phones and greet clients in a warm, friendly manner to provide a superior experience and welcoming environment
  • Manage client scheduling & Advisor’s calendar continuously throughout the day
  • Book & manage all travel arrangements
  • Assist with managing vendors and third-party relations to support business operations
  • Establish and maintain efficient office & filing systems to optimize workflow
  • Provide basic setup and maintenance support for office technology, including email, printers, and the phone system
  • Collaborate with IT support for more complex technical issues
  • Maintain office supplies and outgoing correspondence
  • Prioritize and route calls, texts, and mail ensuring an exceptional client experience
  • Maintain confidential information in a highly regulated environment
  • Create a wow experience for clients including managing the Client Love program (i.e. birthday cards, gifts, special events and milestones)
  • Collaborate with the marketing team to create engaging content for client communications and contribute to overall marketing initiatives.
  • Execute communication strategies to keep clients well-informed about our services, as well as industry news & resources using emails, social media & print marketing
  • Assist with various marketing communications and events to enhance client experience
  • Prep advisor for speaking engagements & media appearances
  • Work closely with the Marketing Director and Executive Team to identify opportunities for enhancing client experience and office efficiency
  • Keep database up to date and accurate
Salary:
  • $42,000 - $62,000/year BOE
