Adirondack Direct is Hiring an Administrative/Accounting Assistant Near Verona, NY

Job Description

Hours: 8:00am to 5:00pm Monday through Friday

Type: Hourly/ Full-Time/ FLSA Non-Exempt

Shift: 8 Hours daily; 40 hours per week

The Administrative Accounting Assistant will be responsible for accounting, purchasing and data entry for Nitrix Management Company, Adirondack Direct, Media Pro, and the Planet Fitness clubs under our management. Compute, classify, and record numerical data to keep financial records complete. Perform a combination of routine calculating, posting, and verifying of records. Analyze accuracy of figures, calculations, and postings pertaining to business transactions.

Essential Functions and Responsibilities

  • Promptly and accurately process incoming payments.
  • Apply payments to customer accounts in our accounting system.
  • Generate and send out customer invoices as required.
  • Address customer billing inquiries and resolve issues promptly and efficiently.
  • Proactively monitor accounts receivable, conduct collection activity, contacting customers, and maintaining detailed records of collection efforts. While providing exceptional customer service.
  • Answer customer calls and emails in a timely and professional manner.
  • Collaborate with other office staff members to ensure smooth daily operations.
  • Answering phones and scheduling appointments.
  • Assist with scheduling and routing technicians for service appointments.
  • Update vehicle tracker when service, inspections, or registrations are completed on all company vehicles.
  • Crosstrain on shipping/receiving materials.
  • Maintain billing calendar.
  • Maintain work order management.
  • Ensure receipt tracking is accurate and up to date.
  • Perform general administrative tasks such as filing, copying, and organizing documents.
  • Other duties as assigned.

Qualifications/Requirements

  • High school diploma or general education degree (GED).
  • General accounting and associated data entry skills.
  • 1 year office experience (preferred).
  • Experience with financial software, such as QuickBooks (preferred).
  • Must be able to create and understand spreadsheets.
  • Must be able to use Microsoft (Word, Excel, PowerPoint, Outlook).
  • Must be 18 years of age or older.

Physical Demands

  • Continual standing and walking during shift.
  • Continual talking in person or on the phone during shift.
  • Must be able to occasionally lift up to 50 lbs.
