Executive Assistant
Join us on a journey to change the world, one life at a time. As the Executive Assistant to the Chief Experience Officer, you will play a critical role in shaping the future of our organization. You will provide high-level administrative support to the CXO, serving as a key point of contact and liaison to the Advisory board and senior management teams. With your excellent communication and organizational skills, you will help our CXO navigate the complex and fast-paced world of business, freeing up their time to focus on the bigger picture.

In this role, you will be a trusted advisor and confident, supporting the CXO in all aspects of their day-to-day life. You will manage sensitive information with the utmost confidentiality and discretion, and be able to exercise good judgment in a diversity of situations. You will be responsible for managing the CXO's schedule, arranging travel, and preparing presentations and reports.

You must be able to work well under pressure, possess excellent time management skills, and have the ability to prioritize tasks and meet deadlines.

Your Key Contributions will be
- Serve as the primary point of contact for internal and external stakeholders, handling a high volume of inquiries and requests with professionalism and tact.
- Proactively manage the CXO's schedule, including coordinating complex travel arrangements and prioritizing conflicting demands.
- Prepare reports, presentations, and other materials for executive-level meetings, conferences, and other events.
- Support the CXO in managing communication with the board of directors and other key stakeholders, including the preparation of meeting agendas, minutes, and reports.
- Act as a liaison between the CXO and other departments, ensuring that information is accurately communicated and action items are promptly addressed.
- Monitor and respond to emails, voicemail, and other communication channels on behalf of the CXO, triaging messages as appropriate and flagging critical issues.
- Maintain accurate and up-to-date records of all communications, tasks, and projects, using the latest tools and technologies to streamline workflows and increase efficiency.
- Take on ad-hoc projects and other special assignments as needed, providing creative solutions and quick responses to meet the needs of the business.
- Create and maintain systems to manage the flow of information and documents, ensuring that the CXO and other executives have access to the information they need to make informed decisions.
- Continuously seek opportunities to improve processes and systems, proposing new approaches and innovative solutions that increase efficiency and effectiveness.
Essential Qualifications for Success
- Bachelor's degree preferred
- 5 years of executive administrative experience, supporting a CXO or senior executive
- Excellent written and verbal communication skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines
- Discretion and confidentiality with handling sensitive information
- Ability to work effectively in a fast-paced environment and handle multiple priorities
- Excellent interpersonal skills and the ability to work well with all levels of staff and management
