Responsibilities:
-Manage the front desk and serve as the first point of contact for visitors and callers
-Perform general clerical duties such as filing, photocopying, and data entry
-Maintain office supplies and inventory
-Manage calendars and schedule appointments
-Assist with budgeting and financial tasks, including invoicing and expense tracking
-Coordinate meetings and events, including making arrangements for catering and travel
-Handle incoming and outgoing mail and packages
-Demonstrate excellent interpersonal skills and work with Nashville office personnel
-Manage phone calls and correspondence (emails, mail, packages)
-Support coordination of meetings, conferences, and events to include food, travel, airfare, lodging, etc.
-Organize and successfully ship trade show materials as needed throughout the year
-Ensure appropriate levels of office supplies and place orders as needed
-Assist in vendor relations for the corporate office as needed.
-Update company lists, manage company files and handle special projects
-Coordinates permissions of phone system, including set-up of employees, with training of how to use
-Sorting mail
-Support office management by ensuring the office is clean, organized, and well-maintained
Experience:
- Previous experience in an administrative or office management role preferred
- Proficiency in using phone systems and other office equipment
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Proficiency in using computer software such as Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with Sage Intacct or other accounting software is a plus
