ABM US is Hiring an Administrative Assistant Near Newark, NJ

Pay: $19.55/Hour
The pay listed is the hourly range or the hourly rate for this position. A specific offer will vary based on applicant’s experience, skills, abilities, geographic location, and alignment with market data.
Shift: FLEXIBLE due to Events based scheduling, 40 hours weekly.

Position Summary:
The Administrative Assistant will provide timely and accurate administrative support services for our managers to enhance the quality of the overall service we provide to our clients and employees.

Essential Functions: 

  • Assist with payroll tasks including data entry, processing, and verification. 
  • Assist managers with hiring functions including submission of job requisitions, making first contact with applicants, and assisting applicant with proper completion of onboarding process. 
  • Maintain employee files. 
  • Assist managers and HRBP with investigations. 
  • Order and maintain supplies for office. 
  • Assist managers with supply ordering upon request. 
  • Maintain branch PO log and submit invoices for AP processing. 
  • Greet and help walk-in visitors in a professional manner. 
  • Greet vendors/suppliers and accept office deliveries. 
  • Organize and maintain office. 
  • Prepare spreadsheets, reports, and other documents as assigned by Management. 
  • Handle other duties as assigned by Management.
  • Provide excellent service to client and employees. 

Minimum Requirements: 

  • GED or High school diploma required
  • Associate degree or higher preferred 
  • 2-3 years of successful office administration experience 
  • High energy level and enthusiastic 
  • Proficient in Microsoft Office 
  • Comfortable with having flexible hours 
  • Experience with hourly time record-keeping procedures 
  • Experience processing new employees 
  • Strong organizational skills 
  • Excellent interpersonal skills 
  • Ability to work in a team environment 
  • Sense of urgency to complete tasks and meet deadlines; self-directed 
  • Ability to handle confidential information 
  • Ability to handle multi-faceted jobs with completing normal duties
