Abington Friends is Hiring an Executive Assistant to the Head of School Near Jenkintown, PA

The Executive Assistant to the Head of School provides primary support to the Head of School, working with all school constituencies including board members, parents, employees, students, donors, alumni and other external partners. The successful candidate will have excellent interpersonal and communications skills, be a creative problem solver, and be able to maintain both discretion and confidentiality. This is a 12-month, full-time position.

Administrative Responsibilities:

  • Assist the Head of School in all aspects of daily operations, including project management and coordinating and connecting across multiple departments of the School
  • Manage the Head of School’s calendar and daily agendas
  • Monitor calls and visitors, solve routine problems, offer assistance whenever possible, and provide information for those referred to the Head of School
  • Provide administrative support to the Administrative Council as well as cross-divisional committees and assist with meeting preparation, scheduling, and record keeping
  • Coordinate all-school events for faculty and staff, including in-service days and opening and closing administrative days
  • Liaise with communications team to support internal and external communications
  • Perform special projects as assigned, including preparing slide presentations and other program materials as needed by the Head of School

Donor Cultivation:

  • Support the Head of School in achieving fundraising goals
  • Participate and assist in the planning and execution of events
  • Communicate with major donors, including scheduling appointments, answering questions and performing necessary problem solving

Administrative Assistance to the Board of Trustees (School Committee):

  • Coordinate meeting arrangements, including meeting invitations and preparation and distribution of agendas and related meeting materials
  • Assist committee chairs with meeting preparation
  • Maintain School Committee records

Community Relations:

  • Communicate with parents and other family members, volunteers, donors and members of the public when there is a perceived problem, concern or question. Attempt to resolve issues before they require intervention by the Head of School and keep the Head of School and others, as appropriate, informed of issues that may become serious issues.
  • Refer parents and others to Department and Division Directors when possible while keeping the Head of School informed.

Qualifications:

  • Bachelor’s degree required, with 5 or more years’ experience in an administrative and leadership role required
  • High level of interpersonal skills and the ability to handle sensitive and confidential situations and information
  • Ability to use and learn new software applications, including expertise with Google Apps, Microsoft Office Suite and presentation software
  • Excellent time management and the ability to discern among competing priorities
  • Ability to demonstrate poise, diplomacy and grace in working with all constituencies including major donors
  • Excellent verbal and written communication skills and the ability to use them effectively in communicating with people at all levels of the organization
  • Attention to detail in composing, typing and proofreading material
