Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant/Office Manager. As an Executive Assistant, you will provide support to our owner, employees/contractors, and clients and ensure the smooth operation of our office and the buildings and locations we service. This is a full-time position with opportunities for growth and advancement.
Responsibilities:
- Manage executive calendars, schedule meetings, and coordinate appointments
- Perform Quality Checks on clients buildings, asses inventory of janitor closets and place orders
- Manage Sevice Schedules for employees and contractors
- Prepare and edit correspondence, reports, and presentations
- Conduct research and gather information for various projects
- Assist with project coordination and follow-up on action items
- Handle incoming calls and inquiries, providing excellent customer service
- Perform general office management duties, such as ordering supplies and maintaining office equipment
- Assist with data entry and document management tasks
- Maintain confidentiality of sensitive information
- Coordinate travel arrangements and accommodations
- Assist with event planning and coordination
Requirements:
- Proven experience as an executive assistant or in a similar role
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong written and verbal communication skills
- Proficient computer literacy, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) or Google Docs
- Ability to handle multiple projects and deadlines simultaneously
- Attention to detail and accuracy in work
- Professional phone etiquette and familiarity with phone systems
- Experience with DocuSign or similar electronic signature platforms is a plus
- Strong problem-solving skills and ability to work independently
- Experience in event planning or the service industry is preferred
