80 Acres is seeking a highly organized and efficient Office Manager to oversee the day-to-day operations of our headquarters and provide administrative support to our finance team. This dual-role position requires a versatile professional capable of managing multiple tasks effectively. The ideal candidate will have a strong background in office administration and a basic understanding of financial processes.

Description

Key Responsibilities:
Office Management (50%)
  • Oversee general office operations and ensure the workplace environment is well-maintained, safe, and efficient.
  • Manage office supply inventory, ensuring essential items are always stocked and reorder supplies as necessary.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Organize and maintain the office layout and ensure common spaces are functional and tidy.
  • Coordinate with IT firm on all office equipment and assist in resolving any related issues.
Finance Support (50%)
  • Assist the finance team with the processing and payment of invoices and tracking of departmental expenditures.
  • Support the finance team with administrative tasks, including document preparation, data entry, and the maintenance of financial records.
  • Help in preparing budget reports and financial summaries for team meetings.
  • Liaise with vendors and service providers to ensure billing issues are resolved promptly.

Required Skills and Qualifications:
  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Familiarity with basic bookkeeping and financial reporting.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).

Education and Experience Requirements:
  • High school degree; additional qualification as an administrative assistant or secretary will be a plus.
  • Previous experience in financial support roles is desirable.
