3i Contracting is Hiring a Construction Project Administrator Near Dallas, TX

Project Administrator

The Project Administrator will oversee and assist a project team providing day-to-day administrative business operations support. These support roles will include payroll administration, purchasing and invoice processing, document control, badging and badging requirements, EEO compliance, cost accounting activities, DBE outreach/public outreach/compliance, and general project office management as may be needed.

Position requirements: Responsible for providing project, accounting and clerical support to field operations. Ensure that all aspects of a project are dully attended to and completed at the right time, regardless of challenges that may be encountered.

Responsibilities:

  • Approving invoices by comparing to PO or Contract, verify budget, verify receipt, verify coding
  • Prepare Lien Releases for payments to subcontractors or major suppliers
  • Assist with the processing of Credit Applications
  • Verify that 3rd Tier subcontractors and suppliers on Sworn Statements of Payables to Participants are listed correctly and have been paid.
  • Historically Under-Utilized Business (HUB) reports
  • Contract administration & processing
  • Job Maintenance - set up new Jobs / Folders for Subs and Vendors per job
  • Liaison between 3i & owner communication (project related)
  • Plan, prepare and execute monthly meetings as requested for subcontractor base
  • Take meeting minutes
  • Keep records of all information related to project for documentation, clarification, and presentation to management
  • Ensuring that office is equipment i.e... Copiers are stocked and fully functional, any issues are to be brought to immediate supervisor
  • Ensuring that conference rooms, lobby, supply rooms, and breakroom are kept stocked; and maintained daily. Email Business Manager when supplies are needed.
  • Maintaining and/or assisting with other document control duties as assigned

EDUCATION/CERTIFICATION:

High school graduate; Degree or equivalent preferred

REQUIRED KNOWLEDGE:

Knowledge of the construction industry and operations, construction, project experience

Knowledge of Pro Core Project Management System

Knowledge of related computer applications

Familiarity with basic bookkeeping procedures

EXPERIENCE REQUIRED:

One to five years of previous related experience required

Typing or keyboarding experience required

Knowledge of accounting industry software

SKILLS/ABILITIES:

Good computer skills; Microsoft Software programs - Microsoft Word, Excel, PowerPoint

Organized and attentive to detail and accuracy

Cooperative and willing to assist others
