The Sr. Secretary performs complex administrative work, often of a confidential nature, in the Department of Biostatistics, requiring the use of judgment to interpret general directions, initiative, and the ability to make decisions relative to efficient office operations while maintaining a thorough knowledge of institutional regulations, policies and procedures.
Key Functions:
1.Provides administrative support to assigned faculty and staff including, but not limited to, maintaining and updating Curriculum Vitae, Other Support, biographical sketches, processing travel and various reimbursements, keeping calendars, typing correspondence, assisting faculty with manuscripts, etc.
2.Processes documents for Biostatistics including reviewing documents, logging into appropriate spreadsheet, submitting for signature, copying, and routing as needed.
3.Updates FileMakerPro with all expenditure documents for Biostatistics.
4.Receives, places and transfers calls using appropriate telephone etiquette; answers the telephone in a pleasant, courteous and understandable manner. Process telephone information accurately, takes complete written messages, assures follow-up. Provides information to callers pertaining to services offered in the department. Provides help to misplaced calls by directing to appropriate number.
5.May process mail run twice daily (approx. 10:00 am and 2:00pm depending on mail delivery time). May be requested to deliver and/or pick up documents or other items throughout the institution. Logs deliveries and notifies assistant/customer of delivery.
6.Maintains laptops and a/v equipment including keeping equipment locked when not in use, maintaining in/out log.
7.Serves as main point of contact for booking conference rooms from external users. Posts calendar to conference rooms on a daily basis or more frequently as necessary. Arranges routine conferences according to department specifications, including booking rooms, catering, equipment, etc.
8.Responsible for ensuring paper is loaded in shared printers, fax machines and photocopiers.
9.Maintains and orders office and coffee supplies.
10.Other duties as assigned.

EDUCATION: Required: High school diploma or equivalent.
EXPERIENCE: Required: Two years experience performing responsible secretarial work.
