POSITION SUMMARY

BEER NUTS INC. is seeking an Executive Administrative Assistant to join our team. The ideal candidate is efficient, detailed oriented and skilled in developing and maintaining workplace and customer relationships. The administrative assistant will oversee the company’s general administrative activities. Such as managing business-related tasks for the Director of Operations, creating reports, maintaining purchase orders, taking notes for meetings, providing polite and professional assistance via phone, mail, and e-mail, and other organizational tasks. The individual in this role must possess the ability to work independently to facilitate the day-to-day administrative tasks for the administrative team. They should be prepared and responsive, willing to meet each challenge directly. To do this role properly you should have a detailed understanding of the full Microsoft Office suite and be exceptional at solving problems.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Preparing financial statements, purchase orders, reports, memos, invoices letters, and other documents
  • Update and maintain office documents including but not limit to contractor and vendor contact, lease document, service report.
  • Create and maintain project information, purchase orders, change orders and their respective attachments as well as generating transmittals per Project Manager's request for plans and specifications and pay requests.
  • Answering phones and routing calls to the correct person or taking messages
  • Plan, organize and schedule company meetings in the office, off and on site
  • Schedule appointments and maintain calendars
  • Write and edit communications, from letters to reports and instructional documents
  • Special projects as needed
  • Performing minor accounting duties
  • Order and oversee office supplies
  • Follow communication procedures, guidelines, and policies
  • Filing and retrieving corporate records, documents, and reports
  • Researching and conducting data to prepare documents for review and presentations.
  • Maintains and distributes all requested sales and advertising support materials, including price lists, spec sheets, and sales resources, to brokers nationwide.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Able to handle sensitive information in a confidential manner.
  • Solutions-focused individual that is emotionally intelligent, calm, friendly, positively focused and helpful personality.
  • Provide general administrative support.
  • Performs other duties as assigned or required

PREFERRED QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • 3 plus years of administrative experience preferred, but not required
  • Possesses a positive attitude, is efficient, adaptable, professional, and productive.
  • Knowledge of office management systems and procedures, proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Experience with Outlook Calendar for scheduling appointments
  • Excellent time management skills, attention to detail, problem-solving skills, excellent written and verbal communication skills.

Hours: 8:00 am to 5:00pm Monday through Friday

Status: Full-time/Salaried

Salary: $42,000 to $52,000 Based on Experience
