Contract Administrator Position

As the Contract Administrator at Constructable you will be responsible for managing the subcontracting process to support our construction projects. This role is crucial in ensuring that subcontract agreements are accurately drafted, negotiated, and executed in a timely manner, contributing to the success and efficiency of our projects. Moreover, this position assumes responsibility as the GC Pay Administrator and entails the generation of purchase orders for the project team. As an integral part of the accounting department, it is expected that you possess experience in project accounting and display a willingness to undergo cross-training in all accounting functions to seamlessly address any operational gaps as they arise.

Contract Administration

  • Oversee the preparation, negotiation, and execution of subcontracts, change orders, and amendments.
  • Ensure that contracts are drafted accurately, in accordance with project requirements, legal regulations, industry standards and in a timely manner.
  • Maintain comprehensive records of all contractual documents, including templates, subcontracts, redlines, change orders, correspondence, and project-related communications.
  • Communicate with Senior Management regarding potential risks and liabilities associated with subcontracts and/or subcontractors and their compliance.
  • Organize documentation in a systematic and accessible manner for reference and audit purposes.
  • Prepare reports on, and communicate the status of, subcontracts with the project management team.
  • Conduct regular reviews and audits to verify that all parties fulfill their contractual obligations.
  • Monitor compliance with contractual obligations such as insurance requirements and expirations, W-9’s, Schedule of Values submissions, etc.
  • Manages internal communication regarding out of compliance subcontractors with project team and accounting, preventing them from being onsite and the release of payments while out of compliance.
  • Ensures the financial obligations of the subcontract are hitting the right cost codes.

GC Pay Administration

  • Manage project setup in GC Pay, including project specific settings and users.
  • Set up Subcontractors in GC Pay and ensure that their contract value and SOV are set up properly.
  • Manage Change Orders in GC Pay

Purchase Orders

  • Set up new vendors by collecting vendor information and W-9
  • Generate purchase orders from requisitions sent by project team.

Position Requirements

  • Associate or bachelor’s degree in accounting, business administration, or equivalent work experience.
  • 2-5 years of project accounting and/or administration experience.
  • Experience in accounts payable and vendor management.
  • Excellent communication, time management, and organizational skills.
  • Experience working in a fast paced, unstructured, and dynamic work environment with minimal supervision
    • self-started and team player.
  • Strong ability to multi-task, meet conflicting deadlines, and handle competing tasks.
    • impeccable attention to detail and working across various levels and functions
  • Self-motivated with the ability to work independently.
  • Intermediate to advanced skills in Microsoft Excel, Word, and PowerPoint.
  • Experience with GC Pay and Viewpoint by Vista is a plus.
  • Previous start-up and/or construction experience is a plus.
  • Previous Accounting experience is a plus.
