Description
Summary
This position is primarily responsible for providing administrative support for the Legal department and the Treasury department.
Roles and Responsibilities
Payment Management (Treasury Department)
· Responsible for daily checks of Accounts Payable in SAP (Zinvoice_Release) for payment processing
· Ensure that third parties’ set-up is correct in Masterdata and highlight any issues to Compliance team
· Monitor timely payable invoice approval by Operations and follow up as appropriate
· Responsible for set up and monitoring of all necessary reporting requirements of all bank accounts
· Manage all payment related inquiries with LPA’s banks
· Provide required information on all OFAC and compliance requests to beneficiaries and banks
· Supervise all Account Receivable and Account Payable payment confirmations
· Handle daily application of incoming payments related to Trade Finance instruments (Discounting, LCs, etc.)
· Track incoming demurrage payments and communication with demurrage department
· Ensure compliance with LITASCO Group companies procedures and regulations
Compliance Coverage (Legal Department)
· Create and maintain appropriate compliance procedures and registers.
· Working with the wider Compliance group and implement compliance policies and procedures for all LITASCO Group companies and offices.
· Ensure that all LITASCO/ LUKOIL necessary approvals have been obtained and applicable procedures followed in relation with the above responsibilities.
· Provide compliance assistance to other support functions of the LITASCO Group, including but not limited to:
-Finance
-Accounting and Taxes,
-Human Resources and lT
-Projects and Business development.
Requirements
Required Education and Experience
· Associates degree
· Minimum of one (1) year of experience in an administrative assistant position
Knowledge, Skills, and Abilities
· Ability to understand, comply with, and embody departmental policies, procedures, and organizational relationships.
· High proficiency in Microsoft Office Suite, i.e. Excel (databases, spreadsheets), Outlook (Calendar, email organization), Word (letters, memoranda).
· Good knowledge of systems or ability to learn new systems such as Concur, and SAP HR.
· High proficiency in handling confidential and sensitive information with discretion and working to ensure confidentiality is respected throughout the organization.
· Accuracy and a high degree of attention to detail, with strong organization and documentation skills applied to maintaining physical and electronic filing systems.
· Ability to follow complex instructions, make decisions, and take necessary actions where precedents may not be established.
· Strong written and oral communication skills, as well as active listening skills.
· Strong analytical skills in a dynamic, data-driven environment.
· Strong interpersonal skills in a professional office environment, and ability to work well with others in a team setting.
· Ability to use diplomacy, discretion, and judgment in giving out information.
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
Position Type / Expected Hours of Work
This is a 1099 position. Normal days are Monday through Friday with part-time hours (20 hours per week).
