JOB DUTIES50% - DRC- Social Sciences Proctor Hiring: Oversees a pool of student examination proctors for all departments in the Social Sciences Division. Recruits, interviews students and provides training to the proctors. Acts as primary contact person for the proctor pool. Distributes proctor pool information to the other academic departments in the division. Receives proctor timesheet information from other departments and approves all timesheets.
- Psychology Department Exam Coordination: Sets up 210 proctored exams per quarter for DRC (Disability Resource Center) students taking classes in the Psychology department, including reserving rooms and arranging for proctors. Communicates regularly with faculty, graduate students and undergraduate students on room schedules and exam needs. Liaison with DRC service coordinators when necessary.
20% - Administrative Support- Student employee supervision: Writes job descriptions, orders recruitments, interviews, makes hiring decisions, provides job training, coordinates schedules, assigns duties, sets work priorities, approves time sheets. Keeps Administrative Manager apprised of need for additional time or lack of work. Responsible for the following duties when student employee is not available: maintenance of office copy machines, mail and fax distribution, mailroom, mail forwarding, reprints, telephone answering messages, and scanning.
- Textbook Copies: Orders desk copies of class texts for faculty by sending requests to faculty to gather necessary information and using that information to contact publishers with follow-up confirming deadline. Makes necessary calls to ensure timely deliveries. Maintains current addresses and names of publishers' sales representatives for future reference.
- Financial: Receives paychecks and verifies against accompanying register from Accounting; distributes to appropriate faculty, staff, and students, maintains security for unclaimed paychecks when appropriate.
- Administrative support: Gathers and posts faculty office hours on website, collects syllabi for historical use. Processes graduate student letters of recommendation.
15% - Equipment and Facilities Coordination- Space Reservations: Oversees the scheduling of departmental spaces; maintains space calendars for availability and accuracy. Primary contact to faculty, graduate and undergraduate students, and staff from other departments.
- Key Distribution: Develops procedures and implements database and physical inventory of keys for rooms in two buildings to over 100 authorized persons.
- Audio-Visual Equipment: Reserves department audio-visual instructional equipment to faculty, staff, visiting speakers and graduate students. Maintains equipment database.
10% - Special Projects- Acts as back-up to department assistant on purchasing and reimbursements.
- Other duties and projects as assigned or undertaken on own initiative with same level of complexity, difficulty, and responsibility.
5% - Research Support- Experiment Management System: Oversees the department's online experiment tracking system, Sona Systems. (Involves approximately 700 undergraduates in 1700 hours of experiments with faculty and graduate student researchers each quarter.) Creates class rosters using AIS; reviews and approves new experiments in Sona Systems; solicits requests for experiment hours from researchers and allocates hours based on supply and demand; confirms IRB approval of experiments; responds to walk-in, phone and email inquires.
- Research Assistant Position Coordination: Solicits PSYC 194 postings, posts in department and on department website.
REQUIRED QUALIFICATIONS- Excellent clerical and administrative skills including fast and accurate word processing.
- Attention to detail.
- Demonstrated ability to work in a professional manner with diverse populations of faculty, staff, and students in a number of capacities.
- Effective written communication skills.
- Effective verbal communiation skills.
- Demonstrated ability to exercise good judgment and discretion particularly in matters relative to sensitive or confidential personnel, or organizational matters.
- Accurate and consistent record keeping skills.
- Demonstrated analytical and problem solving skills.
- Demonstrated ability to learn and apply a variety of policies and procedures and to work accurately, with interruptions to meet deadlines.
- Demonstrated ability to work individually and as part of a team using good judgment to solve problems, adapt to change, monitor tasks to completion with minimal direction.
PREFERRED QUALIFICATIONS- Experience working in an academic setting.
- General knowledge of the UCSC campus.
- Experience recruiting, interviewing, selecting and supervising student employees.
- Knowledge of the UCSC WCMS program and some experience with maintaining a website.
- Knowledge of student database systems (e.g., AIS).
SPECIAL CONDITIONS OF EMPLOYMENT- Selected candidate will be required to pass a pre-employment criminal history background check.
- Ability to work long periods of time at a computer with or without accommodation.
- Ability to perform essential physical job functions.
- Will be required to work all scheduled hours on-site.
- Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
