Salem State University is Hiring a Remote Executive Assistant/Paralegal

General Statement of Duties

The Office of Administration and General Counsel is seeking a proactive and detail-oriented individual with a passion for providing exceptional administrative and legal assistance, as well as confidential support to the vice president and general counsel. As the executive assistant/paralegal, you will play a pivotal role in supporting the legal operations of our organization. Your responsibilities will include conducting legal research, managing various legal documents and correspondence, organizing contracts and agreements, and serving as the point of contact for the office. Additionally, you will assist in administrative functions, budget management, and contribute to strategic planning initiatives. Your ability to maintain confidentiality, prioritize tasks, and demonstrate cultural sensitivity will be crucial for success in this role.

Duties and Responsibilities

  • Serve as confidential assistant to vice president and general counsel.
  • Conduct legal research as needed and prepare related correspondence and documents.
  • Assist in the review and organization of contracts, affiliation agreements, public records requests, subpoena responses and other requests for information.
  • Manage files related to union grievance processes.
  • Assist in gathering information and reporting on university-wide risk matters.
  • Assist with strategic plan implementation including assisting with annual work plans, tracking and monitoring data, and report writing.
  • Manage and prioritize the administrative day-to-day functions of the office including serving as the point of contact for the office, maintaining the calendar of the vice president & general counsel, processing payments, and generally maintaining the operational and budget functions of the office.
  • Assist in the preparation, administration and tracking of the office’s annual budget.
  • Demonstrate sensitivity to students, faculty and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds.
  • Serve as a role model and mentor for students as appropriate.
  • Other duties as assigned.
  • Qualifications

    Required Qualifications:

    • Bachelor’s degree or four years experience working in a support and/or paralegal role.
    • Experience working with little or no supervision and using independent and sound judgment in keeping with established university policies and procedures.
    • Experience working with confidential materials and ability to maintain the confidentiality of the of the General Counsel's Office.
    • Knowledge and command of the English language and ability to communicate effectively in written and oral form.

    Preferred Qualifications:

    • Ability to reason and exercise independent and sound judgment.
    • Skill in using electronic and computerized equipment.
    • Ability to plan, organize, and work efficiently, accurately, and independently.
    • Ability to handle numerous and complex assignments simultaneously in an effective and efficient manner.
    • Ability to gather and obtain information by examining records, documents, and reports
    • Ability to deal tactfully with others.

    Working Conditions:

    This is a hybrid position with on-campus, in-person responsibilities which will require in-person attendance up to three times a week.

    Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
