Functional/Naturopathic Medicine Clinic Administrative Assistant

Job duties include, but are not limited to:
- Answering phones, emails, patient messages, and other office communication
- Speaking with prospective and current patients to schedule appointments and offer information about clinic services
- Navigating lab company portals to order labs for patients
- Supporting practitioners and health coaches with specific patient requests
- Tracking testing kit and supplement inventory in the clinic
- Patient checkouts after visits with practitioners
- Navigating clinic systems including but not limited to: ChARM, G-Suite, Process street, Cliq, Quickbooks, Calendly, ShipEasy
- Learning how to utilize new software and systems when they are introduced to the clinic
- Speaking with lab representatives, supplement companies, and other practitioners and
- Shipping test kits and supplements to patients
- Filling and putting in orders for patient subscriptions
- Providing phlebotomy and intravenous infusion services to patients (training paid for by business if not already trained)
- Social Media Proficiency (not required but highly sought)

- Communication Skills: effectively communicate with patients, healthcare providers, and fellow staff members. Sharing with supervisors when there is a challenge in the job and what is needed for additional support
- Patient Care and Empathy: Demonstrate a strong sense of empathy and create a caring and supportive environment for our patients that helps them feel valued and respected.
- Multitasking: successfully manage multiple tasks simultaneously without letting other tasks fall through the cracks while also maintaining composure and efficiency in a fast-paced environment
- Computer Proficiency: Quickly learning the software systems used by the clinic and getting clarification and additional training from management when there is trouble navigating a system
- Problem-Solving Skills: Collaborate with colleagues to find solutions to various administrative challenges while adapting to changing circumstances and proactively contributing to process improvements
- Time Management: Efficiently allocate time to different tasks and prioritize responsibilities
- Teamwork and Collaboration: Work together seamlessly with healthcare providers and other staff members to ensure coordinated patient care. Embracing a team-oriented approach to healthcare administration
- Conflict Resolution: Handle patient complains or conflicts among staff members with transparency and genuine care while striving to find resolutions that prioritize patient well-being and clinic harmony
