Position: Accounts Payable Specialist
Purpose: Accounts Payable Specialists assist companies with invoicing and billing while maintaining positive relationships with vendors and key contacts within the organization.
Reports To: Director of Finance
Location: Elmhurst Office
RESPONSIBILLITIES
- Managing accounts payable using QuickBooks and other software
- Handling accounts payable for separate entities and vendors
- Providing financial, administrative and clerical support to the organization.
- Establishing and maintaining relationships with new and existing vendors
- Ensuring bills, reimbursements and payroll are paid in a timely and accurate manner while adhering to departmental procedures
- Cross-referencing and verifying accounts payable expenses using a set of three different documents—the invoice, the purchase order, and the receipt—in order to avoid any erroneous charges.
- Comparing purchase orders, prices, terms of payment and other charges
- Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling vendor accounts
- Monitor and record company credit card transactions and collect receipts from credit card holders
- Working closely with Accounts Receivable department for a consistent workflow
