DEPARTMENT OVERVIEW
The Division of Social Sciences research ranges from global issues to issues of culture and power, including social and economic relations between the U.S. and other nations, the social impacts of technological and environmental change, sustainability of human and ecological systems, and human development and social justice. The division offers eight doctoral programs, two master's and 12 bachelor degrees. Nationally-respected doctoral programs include Anthropology, Economics, Education, Environmental Studies, Politics, Psychology and Sociology. An innovative doctoral program was launched in 2014 in Latin American and Latino Studies. At the Masters level, the division offers degrees in Education and Applied Economics and Finance.
Social science research at UC Santa Cruz is organized within individual departments, as well as research centers, and research clusters that cross disciplinary boundaries.
JOB SUMMARY
Under the general direction of the Research Administration Manager, the Research Administrator is responsible for the budgetary and financial management and administration of extramural contracts, grants, and gifts from a wide variety of funding sources; university-generated research funds; and cost share commitments, for the Division of Social Sciences. The Research Administrator proactively manages a proportionate share of the Social Sciences Division's approximately 1,000 research awards, for an estimated 180 principal investigators in 15 units, totaling approximately $60 million annually.
The Research Administrator provides input in developing processes for the Division and provides budgetary analysis and innovative solutions to diverse types of problems and situations by applying university, state, federal, and private sector policies, and procedures in order to ensure that costs to a research fund are reasonable, allowable and allocable under cost principles.
APPOINTMENT INFORMATION
Budgeted Salary: $80,300 - $93,400 / Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES
35% - Post-Award Administration
  • Provide post-award financial administration and management for extramural funds by analyzing and applying complex granting agency and UC guidelines to ensure proper usage of funds, prevent fund overdrafts, and audit disallowances.
  • Ensure grants are processed and allocated correctly according to award documents and University policy and procedure; review award documentation for limiting and restrictive terms and conditions and advise PI accordingly.
35% - Report Preparation and Financial Analysis
  • Prepare and analyze complex reports on a regular basis independently; consult with Principal Investigators as necessary to interpret/explain reports and assist PI in maintaining proper financial stability on funding sources.
  • Prepare ad hoc reports as needed to meet the needs of PIs, campus units, and funding agency requirements.
30% - Fiscal Management and Control
  • Monitor and control budgets.
  • Maintains and reconciles ledger accounts.
  • Apply professional knowledge and experience to prepare, review and provide budgetary approval of financial transactions.
  • Collaborate with PIs and various campus offices (e.g. Office of Sponsored Projects, Accounting, Departments, Graduate Division, etc.) to ensure proper administration of research funding, including grants, contracts, gifts, endowments, and privately funded projects. Coordinate with divisional and campus colleagues to ensure employees are paid appropriately and accurately.
  • Consult on compensation mechanisms. Coordinates and implements budget allocations. Prepares journal entries. Assists in support of audits as directed by senior staff.
REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
  • Ability to manage significant volume of transactions.
  • Ability to perform complex financial analysis and customized reporting.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.
  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas.
  • Maintains current knowledge of compliance regulations in all areas of research administration.
  • Ability to learn campus-specific systems related to finance, purchasing, and reports.
  • Ability to use discretion and good judgment when handling confidential information.
PREFERRED QUALIFICATIONS
  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.
  • Demonstrated ability to analyze problems and situations in a multi-faceted way and develop and participate in implementing innovative solutions.
  • Maintains knowledge of, and ability to interpret and apply, sponsor, institutional and departmental policies.
  • Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Experience using campus financial system (Banner/FIS), campus payroll/personnel software's inquiry module (UCPath), UCSC purchasing system (CruzBuy) and campus Data Warehouse systems (InfoView).
SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • Will be required to work a hybrid work schedule, days of the week and number of days to be determined, and be able to fulfill requirements of the UCSC telecommuting agreement.
