The United Synagogue of Conservative Judaism is Hiring an Administrative Assistant Near Northfield, IL

Position Summary:

The Administrative Assistant is a key member of the USY team and provides general administrative assistance to support efficient USY Department operations. This includes professional and accurate deliverables; thorough and on-deadline completion of project tasks; and a high-level customer service approach to service delivery. The Administrative Assistant has a meticulous eye for detail, is proactive and is a professional representation of the Department to both internal and external stakeholders.

Responsibilities:

  • Support the USY Department and team members by assisting and completing a wide range of administrative tasks and services.
  • Manage USY email in-box system.
  • Play an oversight role of the USY registration system Regpack platform.
  • Update recruiting lists.
  • Provide back-end support for online programs.
  • Schedule meetings; prepare agendas; and complete and distribute follow-up meeting notes.
  • Manage and submit all department monthly credit card reconciliations (including organizing invoices and other receipts) to Finance according to deadline requirements.
  • Submit check requests to Finance for processing.
  • Assist with website management.
  • Draft professional and accurate documents; and assist team members in proofreading and editing documents.
  • Connect with camps, JCC's and Jewish day/high schools to advertise events nationwide.
  • Assist with the preparation of conventions and other events; gather information including submitting RFPs; and contact caterers, speakers and others as needed.
  • Complete research as requested and provide summaries for reports and presentations.
  • Ensure that deadlines related to conventions and events are met.
  • Frame a positive and supportive work environment with USCJ’s shared staff values of: collaboration, dedication to the mission, generosity of spirit, innovation and adaptability, integrity, solution-oriented and striving for excellence; accountable for “living the values” in daily work relationships and work product/outcomes.

Requirements:

  • 2 years similar work experience
  • Must demonstrate excellent communication skills (verbal, written and interpersonal), time management, customer service, problem solving, attention to detail with a high level of accuracy, follow-up, organizational and prioritization skills
  • Must be able to take direction and work effectively with multiple team members, differing administrative needs and varying deadlines
  • Must be able to anticipate needs and effectively manage stakeholder expectations
  • Utilizes a proactive approach to problem-solving and continuous process improvement; seeks out work rather than waiting to be told what needs to be done
  • Accurate record keeping; adheres to internal policy and process requirements
  • Proficient in Microsoft Office Suite and Google Workspace; strong technology skills including video communication platforms; and experience with CRMs preferred
  • Familiarity with Regpacks and Constant Contact preferred but not required; ability to learn online systems quickly
  • Experience in event coordination preferred

Location:

Hybrid; in-office Tuesday and Thursday

Schedule:

Monday through Friday; may require occasional attendance at evening meetings

Travel:

Minimal travel is required for this position

Salary Range:

$45,000 - $50,000
