DESCRIPTION:
The Executive Assistant will be based out of our New York office and will provide support for our CEO, Partner of Media Relations, as well as the Media Relations and Digital Groups. This is an administrative heavy position. The ideal candidate will be an excellent communicator, extremely organized, and proactive. They will be proficient in Microsoft Office suite, and have a friendly, professional demeanor.
Responsibilities Include:
Calendar Management
• Direct support to CEO and Partner including confidential assistance in managing daily calendars and resolving scheduling conflicts.
• Prepare and maintain all agency activity calendar amongst 4 offices.
• Prepare and maintain master outlook calendar for all Media Relations and Digital team members which includes departmental vacation schedules and travel schedules.
• Mange PTO requests and approvals for Media Relations and Digital groups.
Travel and Financial Coordination
• Prepare expense reports for CEO and Partner, Media Relations.
• Book and prepare comprehensive travel arrangements as needed for Media Relations and Digital departments (flights, hotels).
• Prepare travel budgets for client approval.
• Manage Media Relations Event and Project Budgets in alignment with Finance protocol.
• Assist CEO in confidential revenue tracker.
Communication
• Manage all agency news / update emails to department email distro.
• Act as main point of contact for the Department’s communication to IT support.
• Train new employees in department procedures and policies.
• Serve as liaison to the Agency’s other offices and departments.
• Communicate and liaise with the team to properly inform calendar and project management.
General Administration
• Support Media Relations Department in logistical preparation for meetings and interviews including reserving conference rooms, ordering food, liaising with IT etc.
• Support ad hoc project requests
REQUIREMENTS:
A bachelor’s degree and a MINIMUM of 4 years of previous full-time administrative assistant experience supporting a senior level executive.
