LIFELONG LEARNING ADMINISTRATION CORPORATION

Full- Time, Monday - Friday 8 am- 5 pm

This position supports the schools expansion initiatives and has a hybrid/remote work arrangement.

How You Will Make An Impact

The Program Compliance Coordinator - National Schools technical, complex, and audit activities to support Program compliance and monitoring. The responsibilities may include, but not limited to Program eligibility and enrollment, monitoring, maintenance, processing, analysis and auditing of student data, information, records, and reports. This position will serve as a resource to team members and client schools to ensure accuracy and completeness of student records and provide guidance on related issues. This position reports to the Vice President, National Schools Operations or designee.


RESPONSIBILITIES/DUTIES:

  • Partner with team members to review, verify, and audit records for accuracy, completeness, and compliance with established federal or state standards, requirements, and procedures.
  • Collaborate with team members to coordinate internal auditing, record keeping and reporting functions to ensure reporting of data.
  • Support client schools with overall Program compliance to federal or state Program requirements.
  • Collect, maintain, and update data and tracking documents in organizational systems and reconcile student data discrepancies in various organizational systems.
  • Coordinate preparation of information, reports, or data needed in response to requests for Authorizer Oversight, School Board updates, or related reporting by the organization.
  • Prepare reports and documents including requests from external auditors.
  • Research and evaluate current federal or state legislation related to Program compliance and monitoring.
  • Identify programming errors and collaborate with system designees to fix errors for accurate reporting.
  • Provide technical training and assistance to staff concerning monitoring activities and related functions.
  • Create an annual calendar for state-required reports and audits. Ensure all events are prepared for and completed by the due date.
  • Review student data entry in student information systems to ensure thoroughness and accuracy, regularly and monthly and audits for all compliance requirements (enrollment, funding, health, state, authorizer).
  • Work with Leadership to ensure internal compliance manual, procedures, FAQs, and related Program materials, document and ensure they are followed and enforced.
  • Ensure annual tasks are completed including storage of graduate records, non-current students eligible to return, non-current aged-out students, and purging of work samples.
  • Coordinate training for new operations staff. Ensure new educational staff are collaborating with Organization’s education team for training.
  • Verify policies and procedures are in place and followed for: requesting student records, sending out student records, enrollment and dis-enrollment of special education students, attendance process – warning letters, drop letters, etc. aged-out students, homeless students, transcripts, progress reports, report cards, verification and confirmation of students meeting graduation requirements.
  • Perform administrative duties, responsibilities, and activities as assigned. These may be changed or modified from time to time.


KNOWLEDGE, SKILLS, ABILITIES:

  • Knowledge and understanding of State Department of Education 9-12th Program compliance requirements relating to either Special Education, English Learners, Public Charter School, Virtual/Online Learning.
  • Knowledge and understanding of the Organization’s culture, business units, services, and products.
  • Knowledgeable of State Public School K-12th or Public Charter School legislation related to Educator certification.
  • Knowledgeable of various educational programs such as Independent Study, Home Study, Online Learning, Special Education, Career Technical Education.
  • Knowledge and understanding of State Public School Teacher assignment monitoring and reporting.
  • Ability to interpret and apply laws, regulations, policies, and procedures.
  • Ability to prioritize work, excellent organizational skills, and initiative to improve processes.
  • Ability to handle multiple competing assignments and deadlines while being flexible and adaptable.
  • Ability to work in team environments and with multiple levels of personnel.
  • Self-sufficient, resourceful, and committed to providing excellent customer service.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree or two years equivalent work experience demonstrating applicable skills in a relevant industry or discipline is required. Equivalent experience is included in and not separate from total years of professional experience is required.
  • 3-4 years of experience in public K-12 educational program monitoring and reporting is required.
  • Experience working with County Office of Education Departments, Local Education Agencies, and Public-School Districts.
  • Proficient Level of skills in MS Office (Word, Excel, PowerPoint, Outlook) and other student information applications.
  • Must live in the Midwest, Ohio or Michigan is preferred.
  • Ability to travel up to 50% In performance of job, duties is required.
  • Ability to lift, carry, push, and pull objects weighing up to 10 pounds.

PHYSICAL REQUIREMENTS:

  • Mental Demands: medium workflow management, high project coordination, and medium people engagement.
  • Finger Dexterity: primarily using the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.
  • Talking: especially where one must convey detailed or important instructions or ideas accurately, loudly, or quickly.
  • Average Hearing: hearing average or typical conversations and receiving ordinary information.
  • Average Visual Abilities: normal acuity necessary to prepare or inspect documents and operate office equipment.
  • Frequent multi-tasking, changing of task priorities, repetitious exacting work required.
  • Prolonged period sitting at a desk and working on a computer.
  • Working in a low to moderate noise environment with frequent deadline pressures.
