Position Summary

Under the direct supervision of the Elders Center Manager, the Program Coordinator

performs a variety of complex logistical, administrative, and tracking duties to support

the Community Services Elders Center. Functions and tasks include helping coordinate

and plan Elders Center programs, services, special events, and activities. The Program

Coordinator must routinely use tact, poise, and good judgment while communicating

with Tribal Elders and external contacts. The Program Coordinator is required to

exercise independent judgment and initiative in resolving issues to ensure compliance

with the organization’s policies and procedures.

Essential Functions

  • Assists with a wide range of administrative, operational, and clerical duties.
  • Tracks and compiles receipts for daily credit card reconciliations and monthly
administrative reports.
  • Tracks a variety of lists and numbers with Excel and Salesforce daily.
  • Sets up text communication messages to Elders using Textline and prepares
mass-mailers or deliveries.
  • Provides event assistance and works with internal and external teams to set up,
tear down, and execute offsite and onsite events.
  • Obtains photos from UAIC events as needed for the tribal newsletter and secures
necessary consents to publish the photos.
  • Assists in the design and the organization of Elders Center newsletter content,
layout, colors, and photos.
  • Assists in transporting Tribal Elders to appointments.
  • Sets up and maintains confidential files.
  • Creates event flyers, letters, and notices to be reviewed, edited, published and
mailed to Tribal Elders.
  • Helps prepare for workshops and trainings, including reminder calls, conference
room scheduling, room setup, and preparing flyers.
  • Assists callers quickly and efficiently by communicating general information
about Elders Center events and services.
  • Composes letters, e-mails, and memos on behalf of the department, including
itineraries, reports, and other confidential materials.

Non-essential Functions

  • Provides back-up for the Community Services Administrative Assistant.
  • Performs other duties as assigned.
Knowledge, Skills, and Abilities

Knowledge

  • Sharp organizational skills and knowledge of appropriate administrative and

clerical practices.

  • Proficient in various computer software programs applied to specific tasks.
o Ability to create and maintain Excel spreadsheets.
o Ability to utilize and maintain MS Word templates; and
o Ability to manage multiple calendars in Microsoft Outlook.
o Ability to use Salesforce for various tracking needs and run reports.
  • Knowledge of other MS Office applications, including Publisher, PowerPoint, and
Microsoft Teams.
  • Ability to create flyers with Canva.
  • Work closely with finance and accounting for receipt reconciliation.

co-workers, Tribal members, and outside entities.
  • Ability to take initiative in resolving issues to satisfy internal and external
customers’ needs and to stay compliant with UAIC policies & procedures.
  • Ability to clear all necessary background checks.
Qualifications

Minimum requirements

  • High school diploma or equivalent
  • Three years of administrative experience in a fast-paced environment
  • ServSafe Certificate or ability to obtain within two weeks of starting employment.
  • Excellent computer literacy, specifically advanced knowledge of Microsoft Office,
including Word, Excel, Outlook, and Publisher

Preferred qualifications:

  • Ability to generate analytical reports to measure program impact using Excel
and Salesforce.
  • Associate or bachelor’s degree in related field.
