Summary:

Under the direction of Quality Leadership, the Donor Records Coordinator is charged to maintain the donor records storage areas for the organ records. Responsible for all aspects of the donor records area, including record assembly, filing, scanning, scan verification, and record retention and storage.

Responsibilities:

  • Completes chart assembly including initial scanning upon receipt of donor record.
  • Creates tasks and timelines for chart completion requirements based on policy and protocol requirements.
  • Identifies critical missing documentation upon assembly as a part of the quality review process and escalate immediately according to protocols and/or guidelines.
  • Completes post Quality Review scanning of donor records as required by prescribed timelines.
  • Primary responsibility to complete Quality Assurance verification post scanning of donor records as a part of the Quality process.
  • Completes historical donor record scanning following policy based on thresholds established by Quality Leadership.
  • Responsible for filing and scanning documents received post record closure consistent with existing protocols and timelines.
  • Maintains the donor record storage areas for the organ paper charts. Prepares donor records for off-site storage including logging, packaging, labeling, and verification of requirements prior to shipping.
  • Maintains the off-site storage log of donor records with Quality Leadership.
  • Preps donor records for legal requests according to existing protocols.
  • Perform functions as a member of the Quality Team as required to both support and provide back-up to quality processes.
  • Other duties as assigned by Supervisor.
  • Responsible for participating in quality assessment performance improvement (QAPI) activities for the OPO as outlined in the OPO Quality Assessment Performance Improvement Plan.

Specifications:

  • High school education and 12 or more months of related job experience.
  • Ability to interpret policies and procedures related to donor records and to apply them in specific situations.
  • Requires ability to work with confidential work product to protect integrity of donor records.
  • Requires close attention to detail and accuracy.
  • Strong customer services, communication and interpersonal skills are needed.
  • Ability to prioritize daily work schedule.
  • Working knowledge of computer donor records system
  • Working knowledge of Microsoft office products (Word, Excel, and Outlook) and Adobe.
  • Demonstrated physical ability to lift, carry and/or move equipment and supplies of varying weight up to 25 pounds.

Working ConditionsPleasant working conditions. Work requires sitting, standing, stooping, bending, and walking. Position requires pulling, filing, copying, and delivery of charts and reports. Work is varied in nature and is performed with frequent interruptions.
