Job Title: Administrative Assistant
Employment Type: Contract

Minimum Education:
  • High school diploma or equivalent required.
  • ssociate's or Bachelor's degree in Business Administration or related field preferred
Work Experience:
  • Proven experience as an executive secretary or administrative assistant.
Job Duties:
  • Provide comprehensive administrative support to various HESC executives, including but not limited to Audit Director, Counsel's Office, Grants and Scholarships Director, Communications Director, and/or Finance Director.
  • Execute daily administrative tasks to ensure the smooth functionality and coordination of each business unit's activities.
  • Maintain executives' agendas, schedule meetings, and coordinate appointments to optimize time management.
  • ssist in event planning, including resource coordination, setting up online meetings, preparing agendas, and taking meeting notes.
  • Manage shared mailboxes, craft well-structured responses to inquiries, and coordinate timely responses to requests for information. Identify and prioritize matters of top priority for efficient handling.
  • Respond to inquiries for marketing materials, prepare distribution materials, and ensure timely delivery.
  • Draft communications on behalf of Directors and team members.
  • Prepare, process, update, and compile routine documents, records, reports. Draft presentations as needed.
  • Manage and coordinate travel arrangements, including preparing travel requests and vouchers. Assist in processing travel reimbursements.
  • ssist with onboarding new employees to ensure a smooth integration into the organization.
  • Research new tools, products, and costs associated with purchasing marketing materials, equipment, and supplies. Complete purchase request forms and related documentation.
  • Receive and screen phone calls, respond to inquiries, and route callers to appropriate staff members.
  • Perform other duties as assigned to contribute to the overall efficiency and effectiveness of the organization.
Preferred Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Detail-oriented with a high level of accuracy
  • bility to maintain confidentiality and handle sensitive information.
  • Familiarity with online meeting platforms and event coordination tools
  • Knowledge of higher education policies and procedures is an asset.
  • Proactive problem-solving skills
Misc. Information:
  • Work hours are between 8 am and 5 pm, Monday to Friday, with a 7.5-hour workday and a 0.5-hour lunch break.
  • Preferred parking options are paid on-street or garage parking, with a potential cost of $20 per day.
  • The worksite location is accessible via CDTA buses, with bus stops in close proximity.
  • Interview will be conducted in person or online based on the availability.
  • Training will be provided.
