Miami County is Hiring a Human Resources Assistant Near Troy, OH

CLASSIFICATION PURPOSE
The primary purpose of the Human Resources Assistant is to provide confidential and administrative, secretarial and varied support work for assigned department director, assistant director and other managers, involving complex work problems and situations requiring thorough familiarity with the operations of the county.
JOB DUTIES
  • Perform complex duties of an administrative nature in support of the Human Resources department, as directed.
  • Type, compose, create, prepare, and complete a variety of correspondence, forms, records and other documents of confidential or sensitive nature, which require knowledge of departmental programs, policies and procedures.
  • Process and maintain a variety of employment files and records, (e.g., job descriptions, benefit files, training attendance and registration) for the purposes of compiling pertinent employee information, ensuring accuracy of employees' records, maintaining eligibility for positions and complying with mandated requirements.
  • Distribute documentation and retain records as appropriate.
  • Process all incoming mail for the Commissioners and Human Resources offices.
  • Assist with maintaining information in HR databases (e.g. position control numbers).
  • Serve as a back up to the agency liaison. Assist with employment process (background checks and reference checks).
  • Serve as a back up to new employee orientation, including verification of onboarding documentation and ensuring employees are knowledgeable of current practices and administrative processes.
  • Perform record keeping and clerical functions for supporting department staff.
  • Prepare a variety of reports and related documents (e.g. training tracking log) for providing documentation and information.
  • Support assigned administrative and office personnel to aide with their functions (e.g. prepare training room, obtaining equipment requested, scheduling conference rooms, etc.).
  • Answer telephone system for the purpose of screening calls, transferring calls, analyzing and responding to inquiries and/or taking detailed messages.
  • Greet individuals entering the office for the purpose of responding to inquiries and/or directing individuals to appropriate location.
  • Receive items within the office to ensure receipt and delivery to addressee.
  • Attend staff/training meetings and seminars as directed.
  • Meets all job safety requirements and all applicable OSHA safety standards that pertain to essential functions.
  • Demonstrates regular, predictable, and punctual attendance.

MINIMUM CLASS QUALIFICATIONS FOR EMPLOYMENT
High school diploma or equivalent with 1-3 years of experience in an office setting.
ADDITIONAL REQUIREMENTS
Must possess a valid Ohio driver's license.
Coursework or experience in typing and modern office practices/procedures preferred.

  • While performing the duties of this job, the employee is regularly required to stand, walk, sit, drive, use hands to finger, handle, grab, restrain, feel, reach with hands and arms, talk, and hear.
  • The employee is exposed to, must negotiate, use, or work with or in the vicinity of portable fire extinguishers, mechanical handling equipment, the manner in which things are stored, and housekeeping, and moving trucks and vehicles.
