Compensation Range:

$26.00 to $30.00 per hour

Summary of Job Description:

The Accounts Payable Specialist is responsible for managing various tasks to ensure efficient financial operations. This includes reviewing and matching purchase orders and invoices, monitoring Accounts Payable email correspondence, and verifying vendor statements for accuracy. You also reconcile discrepancies and oversee internal and external customer service. Additionally, you will scan and file all related documents, provide Accounts Payable support to purchasing, receiving, and approving managers. You will foster positive relationships with all departments. You actively participate in month-end closing processes, adhere to service, safety, and security standards, and collaborate effectively within a team environment.

Requirements and Qualifications:

· Minimum 3-years in accounts payable, accounting, and finance or related preferred.

· High School Diploma or equivalent education required.

· Strong knowledge of Accounts Payable principles and procedures.

· Must be able to prioritize and work efficiently with limited supervision.

· Must be detail oriented and able to multi-task efficiently.

· Must possess excellent communication, follow-up, analytical and organizational skills.

· Experience in processing for multiple locations.

· Must be proactive and have a creative, positive, and focused mindset.

· Maintaining confidentiality and sensitive information is a high priority.

· Experience with Accounting Software, Excel, Word, Outlook. Business Central a plus.

· Strong attention to detail and accuracy.

· Experience in processing expense and inventory invoices.

· Basic understanding of accounting.

· Follow all appropriate policies and procedures while constantly striving to improve standards of operations.

· Adhere to attendance and reliability standards.

· Adhere to GAAP requirements and United Plant Growers & procurement policy and procedures.

Key responsibilities include, but are not limited to:

· Prepare and process weekly checks, ACH, wire and credit card and online portal payments.

· Maintain Accounts Payable inbox.

· Reconcile vendor statements on a weekly basis.

· Receives mail. Scans all related documents and uploads to ERP system.

· Communicate and develop a good working relationship with all the departments in support of the operation.

· Process Accounts Payable invoices, and 3-way match accurately and in a timely manner.

· Research and resolve invoice discrepancies and issues.

· Review and process employee expense reports.

· Process annual 1009’s.

· Assist with audit support as necessary.

· Ensure invoices have the correct entity coding/allocations, vouchered, and posted in the perspective month in the accounting system.

· Manage all vendor inquiries/phone calls, answer questions from managers, employees, interns, contractors, etc.

· Perform other duties as assigned.

Physical Requirements:

· Ability to bend and lift light objects.

· Ability to sit for extended periods of time while viewing a computer monitor.

· Dexterity of hands and fingers to operate a computer keyboard.

· Capable of hearing and speaking to exchange information

· Seeing to read reports and data.

· Ability to speak English.

· Must be able to work in a noisy, busy environment.
