The Accounts Payable Clerk is responsible for the timely and accurate processing of vendor bills and invoices through the accounting system. The procedures begin with directing vendor invoices to the appropriate employee or department head for verification and approval. Once approved and returned to A/P the invoice is coded and entered into Sage 50 (formerly Peachtree) accounting system. Once in the system the invoice can be scheduled for payment based on the payment terms and available cash, both of which the A/P coordinator can review. Payments are then mailed and all documentation is filed.This position reports to the Controller. In addition, the clerk works closely with all other accounting area employees as well department heads, sales coordinators and in some cases ad reps.The person in this role is also responsible for oversight on the A/P aging reports and payments to all freelancers and independent contractors. The A/P Clerk also files the annual 1099 reports and the federal 1096 form. Additionally, the Clerk may be asked to work on special projects designed to scout out cost-savings opportunities. Also, this person is often asked to pull documentation for various Controller projects. The A/P clerk is responsible for maintaining the A/P database of vendors including remittance information, contacts, phone numbers and fax numbers and, where possible, email addresses. This position requires excellent organization skills and the ability to handle several functions at once. This person must be good with details and persistent about follow-up procedures. Accounts payable software use and mid-range Excel skills are required. Attention to detail and accuracy is a must.Position will be cross-trained in another area of Accounting (A/R billing), serve as part of the front desk rotation and continue to take on more general ledger work as needed.Other duties as assigned.This is a great opportunity to join a small, mighty, and dedicated accounting team in the publishing business.Desert Publications now in its 66th year, the independently owned company produces several consumer and custom publications — including the award-winning monthly magazine Palm Springs Life.
