Fanatics, Inc is Hiring an Office Coordinator Near Miramar, FL

Job DescriptionI. Primary Purpose
This position will support and serve the Athlete Relations Department as a key role with financial and operational aspects for memorabilia deals, signings, and events. This individual must be able to work with other business units within Fanatics.
II. Duties and Responsibilities
Essential Duties And Responsibilities
  • The individual in this role will provide administrative support for the Athlete Relations department in its totality. This includes but is not limited to:
  • Financial tracking and payment coordination with Fanatics accounting department
  • 1099 tracking and all related coordination with Fanatics tax department
  • Working with hotels and venues, both domestically and internationally, to coordinate and facilitate thousands of athlete signings annually
  • Oversight of the department’s travel expenses:
 Booking travel and accommodation for Athlete Relations department staff, athletes, and agents
 Management of Concur (online reconciliation program) by maintaining detailed records of expenses via receipts, invoices, etc.
  • Assisting with purchase orders, product transfers, inventory transfers, shipping, receiving
  • Coordinating marketing and social media requests in conjunction with Fanatics marketing team
  • Coordinating special projects with our fulfillment center (framing, donations, etc.)
  • Assisting in the oversight of deal tracking (business terms, financial distribution, and asset acquisition) while inputting data via Excel and/or Airtable.
  • Maintaining a professional demeanor at all times, whether in the office, fulfillment center, or elsewhere while representing Fanatics
QualificationsIII. Education and Experience Requirements
  • Bachelor’s Degree preferred
  • Basic accounting skills required.
  • Proficient with Microsoft Applications (Outlook, Word, Excel, PowerPoint)
  • Superior communication skills on various levels. Must have articulate speech, proper business writing skills, ability to listen to client and quickly address any concerns.
  • Ability to work with a sense of urgency in order to meet deadlines and problem solve in what can be a pressure-filled environment. This industry is often driven by hot market events which require short lead-time negotiation and coordination in order to deliver finished product during critical time periods.
IV. Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Frequent use of eye, hand, and finger coordination enabling the use of office machinery. Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.
  • Must be able to lift and carry up to 25 pounds
  • Must be able to stand 8 to 10 hours per day if attending signings or assisting shipping
  • May be expected to walk up to several miles a day at off-site events
  • Must be able to talk, listen and speak clearly on telephone
